Key Responsibilities:-

- Oversee daily office operations and ensure smooth administrative functions.

- Manage and organize company documents, records and filing systems.

- Liaise with clients and partners from China.

- Handle correspondence, emails, phone calls and inquiries in Mandarin and English.

- Prepare, proofread and translate letters, reports and business document received from China from Chinese into English.

- Maintain inventory of office supplies, stationery and equipment.

- Liaise with superior on operational matters.

- Arrange meetings, appointments and travel itineraries for management and staff.

- Prepare meeting agendas, take minutes and follow up on action items.

- Assist in HR related tasks such as recruitment coordination, onboarding and employee record maintenance.

- Organize company events, staff activities and training sessions.

- Manage office housekeeping, courier services and logistics arrangements.

- Provide direct administrative support to management and ensure confidentiality of information.

- Draft internal announcements, memos and assist in company communication.

- Support cross department coordination and ensure timely completion of administrative duties.

- Handle ad hoc projects, assignments and other duties as assigned by superior.

- Ensure compliance with company policies, procedures and administrative standards.

- Continuously identify areas for administrative improvement and suggest efficient solutions.

- Perform tasks as required by the Management.

- Diploma or Bachelor's Degree in Business Administration, Management or related field.

- Fluency in Mandarin are encouraged to apply.
