Job Description

We are a mid-sized, full-service law firm in Malaysia with a strong reputation for delivering practical, high-quality legal solutions to local and international clients. We are looking for a dedicated and detail-oriented Legal Secretary to support our team of lawyers and contribute to the firm’s continued growth and efficiency.

Key Responsibilities

  • Provide comprehensive secretarial and administrative support to lawyers and partners.
  • Prepare, format, and proofread legal documents, correspondence, agreements, pleadings, and other legal materials.
  • Manage filing systems (both physical and electronic) and ensure proper document control and confidentiality.
  • Schedule and coordinate meetings, court hearings, and client appointments.
  • Handle court filing, e-filing, and liaise with court registries, government departments, and other relevant authorities.
  • Manage lawyers’ calendars, deadlines, and reminders for hearings, submissions, and key dates.
  • Draft standard letters and simple legal documents under supervision.
  • Handle incoming calls, correspondence, and emails promptly and professionally.
  • Assist in billing, timekeeping, and expense management for the department.
  • Perform other general office duties such as photocopying, scanning, and courier arrangements.

Job Requirements

Requirements

  • Minimum Diploma in Legal Studies, Secretarial Studies, or a related field.
  • 2–5 years of experience as a legal secretary or administrative assistant in a law firm.
  • Good knowledge of legal terminology, court procedures, and document formatting.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and familiarity with legal document management or e-filing systems.
  • Excellent command of English and Bahasa Malaysia (both written and spoken). Mandarin is an advantage.
  • Strong organizational, multitasking, and time management skills.
  • High attention to detail and accuracy.
  • Discretion and professionalism in handling confidential information.
  • Ability to work independently and as part of a team in a fast-paced environment.
