Liaise directly with the external service provider to report and manage any changes to shareholder data (e.g. employee departures, entity changes).
Validate in-scope shareholding requests and documentations to ensure completeness and adherence to requirements of the shareholding criteria, such as sales of shares, early release, stock option, Employee Stock Purchase Campaign (ESPPs)
For entity payment, accurately dispatch sales of shares, dividend and fractional rights payments to shareholders.
To assist employee Shareholders on their formalities (process explanation, online account access, etc.)
Coordinate with internal departments (HR, Payroll, Tax, Legal, Finance, Accounting) and external partners (shareholding vendor) to ensure seamless plan operations and data flow.
Generate recurring and ad-hoc reports for internal or external stakeholders (Shareholding vendor, Finance, HR COE, HR, Legal, Leadership) to support financial reporting, budgeting, forecasting, and audit requirements if any.
Bachelor's degree in Finance, Accounting, Human Resources, Business Administration, or a related field.
Minimum of 3-5 years of experience in an operational support role, HR administration, HR Shared Services, or a similar analytical position within a complex organization.
Proficiency in HR Information Systems Workday and case management tools (e.g., ServiceNow, or similar) would be advantageous
Attention to detail and accuracy in data handling, document verification, and process execution.
Excellent verbal and written communication skills to effectively interact with employees, internal stakeholders, and external partners.
Strong Analytical and Quantitative Skills: Ability to analyze complex data sets, perform reconciliations, and generate accurate reports with keen attention to detail.
Customer Service Orientation: A commitment to providing excellent service and support to employees.
Integrity and Confidentiality: Ability to handle sensitive and confidential employee and company financial information with utmost discretion.
Strong interpersonal skills and a collaborative mindset to work effectively with cross-functional teams (Individual Shareholders, HRBP, COE C&B, Finance, Legal).
Fluent in English.
Experience in employee shareholding services administrative would be advantageous
Ability to work independently and manage multiple priorities in a fast-paced environment.
Ability to speak additional languages relevant to the company's operations.
