Job Description

As a Logistic Executive, you will be responsible for timely management of bulk logistics delivery documentation, including invoices and delivery orders. You will need to ensure proper storage and accessibility of all documents, while also providing essential onsite administrative support and assisting with report preparation.

How will you CONTRIBUTE and GROW?

1. Operations Costs Management 

  • Manage vendor requests and act as Coupa Customer Service Portal owner for purchase requisitions.

  • Track and reconcile purchase items (e.g., Molecule, Third-party Logistics, Diesel, Toll) to ensure timely goods receipt.

  • Ensure accurate cost recording for proper monthly allocation and assist with Coupa CSP issues.

  • Perform month-end closing activities and prepare monthly accrual reports.

  • Process manual payments (urgent, prepayment, advance) and intercompany billing.

2. Delivery Documentation Preparations

  • Generate delivery documents (DOs, Invoices, Packing lists) promptly based on planning.

  • Ensure documents are well-organized and accessible to drivers, preventing loss.

  • Act as owner for in-house systems and manage equipment.

3. General Bulk Team Admin Work

  • Manage petty cash records and disbursements.

  • Arrange general event administration and ad-hoc shipping.

  • Oversee pantry/stationary restock and PPE & Inventory management.

  • Assist drivers with queries (leave, MyHR, claims, tablet) and form preparation.

  • Track KPI progress and monitor performance.

4. Internal Stakeholders Communication & Safety Compliance

  • Organize and chair Sales and Operations meetings.

  • Prepare for daily Production meetings.

  • Participate in driver meetings to gather information.

  • Ensure full compliance with all AL safety plans.

  • Adhere to Site Safety Policy and Life Saving Rules (LSR).

Are you a MATCH?

  • Mininum a Diploma in holder any discipline

  • Possess strong problem-solving skills and a customer/vendor-centric mindset 

  • Experience in a sales administration, customer service, or a related operational role

  • Highly organized, detail-oriented, and capable of managing multiple priorities effectively

  • A proactive attitude with a commitment to continuous learning and process improvement.

  • Good communication (written and verbal) and interpersonal skills
