Customs & Warehouse Senior Executive
Position Overview
The Customs & Warehouse Senior Executive is responsible for executing customs clearance activities, supporting bonded/non-bonded warehouse operations, and carrying out inventory demand planning. The role ensures accuracy in documentation, compliance with regulations, and effective stock planning to meet operational and business needs.
Key Responsibilities
Customs & Compliance
Prepare and process all import/export documentation (K1/K2 forms, permits, declarations, etc.) in compliance with Royal Malaysian Customs (JKDM) regulations.
Support bonded warehouse requirements, license renewals, and permit applications.
Coordinate with customs officers, auditors, and forwarding agents for inspections, queries, or approvals.
Maintain proper filing and record-keeping of all customs documents for audit purposes.
Stay updated on customs regulatory changes and escalate any impact to the management team.
Warehouse Operations
Perform day-to-day activities in bonded and non-bonded warehouses, including receiving, put-away, picking, packing, and dispatch.
Ensure stock is handled according to SOPs, including FIFO/FEFO, damage control, and disposal processes.
Assist in stock reconciliation exercises, cycle counts, and variance investigations.
Coordinate inbound and outbound shipments with logistics partners and freight forwarders.
Ensure warehouse activities comply with safety, security, and quality standards.
Inventory & Demand Planning
Assist in preparing warehouse demand planning reports based on sales forecasts, consumption trends, and seasonal factors.
Monitor stock coverage and highlight replenishment needs to supervisors or planners.
Track inventory levels across systems (WMS, Oracle, CMS) and support data accuracy.
Provide analysis on forecast vs actual consumption, slow-moving SKUs, and stockholding costs.
Contribute to initiatives to reduce stockouts, overstocks, and improve warehouse utilization.
Cross-Functional Support
Work closely with supply chain, finance, and commercial teams to support order fulfillment and demand requirements.
Liaise with service providers (3PLs, freight forwarders, airlines) to ensure timely delivery and customs clearance.
Support reporting requirements for internal management, auditors, and customs authorities.
Requirements
Diploma/Degree in Supply Chain, Logistics, Business, or related field.
3–5 years of experience in customs operations, bonded/non-bonded warehouse management, or demand planning.
Knowledge of Royal Malaysian Customs procedures, bonded operations, and import/export regulations.
Hands-on experience with Warehouse Management Systems (WMS) and ERP systems (Oracle/SAP).
Proficiency in Microsoft Excel and basic data analysis.
Strong attention to detail, with the ability to meet deadlines and maintain compliance.
Good communication skills to coordinate with internal and external stakeholders.
Preferred Skills & Competencies
Customs certification (e.g., JKDM forwarding license, MITI permit handling) is an advantage.
Familiarity with duty-free or FMCG industries.
Analytical mindset with problem-solving skills.
Ability to work independently with minimal supervision.
