Job Description

Monitor and managed all the secretarial and admin work

 

1.Prepare the pre-meeting/post meeting functions such as:

  • Monitor meeting papers from various departments.
  • Compile meeting folders.
  • Prepare agenda and attendance list.
  • Pre-type draft/skeleton minutes (upon request).
  • Prepare extract minutes after confirmation of minutes.
  • Scan confirmed minutes and do filing.
  • Prepare BoardPac for each meeting

2.Disseminate notices of meetings/change of meeting dates to various parties.

3.Handle Directors’ remuneration such as:

  • Prepare the summary claim for the sitting allowance.
  • Key-in Directors’ sitting allowance in the Connexion.
  • Prepare SST/tax invoice.
  • Print Directors’ pay slip.

4.Handle incoming and outgoing calls in a courteous manner.

  • Prepare memos, correspondences for the office and photocopy all memos and documents.

5.File and update all administration documents.

6. Handle the Internal/External Auditor’s requisition to sight minutes.

7.File documents and other administrative work as delegated.

SKILLS

  • Good interpersonal skills and ability to interact with people of all levels.
  • Able to work independently with minimum supervision in a fast-paced working environment.
  • Proficient in both written and spoken English and Bahasa Melayu.
  • Possess good minutes writing skill.

 

EXPERIENCE

  • Possess at least a Bachelor’s Degree, Post Graduate Diploma, Professional Degree in Law, Business Studies/Management/Banking or equivalent
  • Possess or pursuing ICSA/licensed company secretary qualification and a member of MAICSA or equivalent.
