Job Description

 Recruitment & Manpower Planning

  • Manage the full recruitment process from manpower requisition, job posting, candidate sourcing, screening, interview coordination, selection and offer preparation.
  • Liaise with recruitment agencies and external parties for recruitment activities.
  • Coordinate pre-employment requirements, including medical check-up, reference checks and required documentation.
  • Monitor manpower requirements and hiring status for all departments.
  • Prepare and maintain recruitment records and recruitment reports.

Employee Onboarding & Offboarding

  • Coordinate new employee onboarding, including documentation, induction, orientation, uniform, access, system registration and other joining requirements.
  • Conduct HR induction and brief employees on company policies, procedures and benefits.
  • Manage employee resignation, clearance, exit interview and final documentation.
  • Ensure employee records are updated throughout the employee lifecycle.

Payroll & Statutory Matters

  • Manage monthly payroll processing and ensure payroll information is accurate and submitted within the required timeline.
  • Verify attendance, overtime, leave, allowances, deductions and other payroll-related information.
  • Process statutory contributions and submissions, including EPF, SOCSO, EIS and PCB.
  • Handle payroll-related queries from employees and resolve discrepancies where required.
  • Maintain payroll and statutory records for audit and reference purposes.

Attendance & Leave Administration

  • Monitor employee attendance, working schedules, overtime and absenteeism.
  • Maintain and update attendance records in the HR system.
  • Administer annual leave, medical leave, emergency leave and other types of employee leave.
  • Follow up on attendance irregularities and ensure proper approval and documentation.
  • Prepare attendance and leave reports when required.

Employee Benefits & Insurance

  • Administer employee benefits, including Group Hospitalisation & Surgical (GHS), Group Personal Accident (GPA), medical benefits and other company benefits.
  • Coordinate insurance renewal, employee additions/deletions and claims with insurance providers or brokers.
  • Process employee medical claims and maintain proper supporting documentation.
  • Liaise with insurance companies and brokers regarding policy coverage, quotations and employee matters.

Employee Relations & HR Administration

  • Handle day-to-day employee enquiries and provide guidance on HR policies, procedures and employment-related matters.
  • Support employee disciplinary matters, including show-cause letters, warning letters and domestic inquiry documentation where required.
  • Maintain proper and confidential employee records.
  • Assist in resolving employee grievances and workplace issues.
  • Ensure HR practices are aligned with company policies and applicable employment regulations.

Training & Development

  • Identify training needs in consultation with department heads.
  • Coordinate internal and external training programmes.
  • Prepare training schedules, registration and supporting documentation.
  • Manage HRDC-related training registration and claims.
  • Maintain training records, training matrix and employee training history.
  • Support employee development and upskilling initiatives.

Performance Management

  • Coordinate the employee confirmation and performance appraisal process.
  • Monitor probation and confirmation timelines.
  • Assist department heads in preparing and reviewing performance-related documentation.
  • Maintain performance appraisal records and follow up on outstanding assessments.

HR Policies, SOPs & Compliance

  • Develop, review and update HR policies, procedures, SOPs and employee handbook as required.
  • Ensure HR practices comply with applicable Malaysian employment laws and company requirements.
  • Maintain proper HR documentation and records for audit purposes.
  • Support internal and external HR-related audits and provide required documentation.

Foreign Worker / Expatriate Administration

  • Coordinate employment pass, visa and related documentation for foreign employees where applicable.
  • Liaise with relevant agencies and authorities on immigration-related matters.
  • Monitor expiry dates of permits, passes and relevant employee documents.
  • Maintain proper records of foreign employee documentation.

HR Reporting & Data Management

  • Maintain accurate and up-to-date employee master data.
  • Provide HR data and analysis to management when required.
  • Ensure confidentiality and proper handling of employee information.

General HR & Administrative Support

  • Support management and department heads on HR-related matters.
  • Coordinate HR activities, employee communications and company initiatives.
  • Assist in organising employee engagement activities, company events and welfare programmes.
  • Perform other HR-related duties and projects assigned by management.

Job Requirements

  • Diploma/Degree in Human Resource Management, Business Administration, or a related field
  • Minimum 3 years of relevant HR experience, ideally in a generalist or payroll-focused role
  • Sound knowledge of the Malaysian Employment Act 1955, EPF, SOCSO, EIS, and PCB requirements
  • Hands-on experience administering an HR/payroll system (e.g., EMPLX or similar) is a MUST — not just Microsoft Office proficiency
  • Proficient in Microsoft Office, particularly Excel (lookup functions, aggregates and pivot tables) for payroll and reporting
  • Strong written and verbal communication skills in English and Bahasa Malaysia
  • High level of integrity and discretion in handling confidential employee and company data
  • Meticulous and disciplined in maintaining accurate Master Data (employee records, payroll data, statutory submissions) — errors here have compliance and payroll consequences
  • Detail-oriented, organized, and able to multitask and prioritize in a fast-paced environment
  • Able to work independently, as this role currently operates as the sole HR person in the company
  • Own transport preferred due to the Gelang Patah/Iskandar Puteri location
