We are seeking a detail-oriented HR & Finance Admin Executive to manage the company’s day-to-day financial operations, including payroll, claims, accounting, and statutory compliance. This role will also support broader finance functions such as accounts payable/receivable, cash flow monitoring, and limited administrative/HR support to ensure smooth business operations.
Process monthly payroll including salary, allowances, commissions, and deductions
Handle employee claims and reimbursements with proper verification and documentation
Maintain accurate payroll records and ensure confidentiality
Process supplier invoices, verify supporting documents, and ensure timely payments
Manage vendor records and resolve discrepancies
Prepare payment schedules and ensure proper approval workflow
Issue invoices and monitor collections from clients
Follow up on overdue payments and maintain aging reports
Reconcile customer accounts and ensure accuracy
Maintain full set of accounts including journal entries, ledgers, and reconciliations
Perform monthly closing and prepare:
Profit & Loss (P&L)
Balance Sheet
Cash Flow reports
Conduct bank reconciliation and ensure all transactions are properly recorded
Assist in budgeting and financial forecasting
Prepare and submit statutory contributions:
EPF (KWSP)
SOCSO (PERKESO)
EIS
Handle tax-related matters including PCB and relevant filings
Ensure compliance with Malaysian financial regulations and standards
Assist in internal and external audits
Maintain proper documentation and audit trails
Ensure compliance with company financial policies and procedures
Monitor company cash flow and funding requirements
Track expenses and highlight cost control opportunities
Support management with financial insights and reporting
Prepare basic HR documents such as:
Offer letters
Employment confirmation letters
Simple HR correspondence
Maintain employee records and documentation
Coordinate onboarding administrative matters (documentation, forms, etc.)
Support general office administrative tasks when required
Identify inefficiencies in finance and admin processes and propose improvements
Support implementation of accounting systems, automation, or internal controls
Requirements
Diploma or Degree in Accounting, Finance, or related field
2–5 years of relevant experience
Strong understanding of Malaysian statutory requirements (EPF, SOCSO, PCB)
Experience handling AP, AR, and full/partial set of accounts
Familiar with accounting software (e.g., SQL, AutoCount, Xero)
Proficient in Microsoft Excel
Preferred Attributes
Experience handling full set of accounts independently
Strong attention to detail and accuracy
Good communication and follow-up skills (especially for collections)
Ability to work independently and meet deadlines
Standard hours are 9:30 AM – 6:30 PM, but as long as milestones and deliverables are met, we trust our team to manage their time responsibly.
