Job Description

 Purpose

Responsible for coordinating the full cycle of inbound and outbound goods movement — tracking lorries via GPS, arranging transport and dispatch schedules, verifying quantities, controlling inventory placement, and maintaining accurate stock records in ERPNext for both incoming raw materials and outgoing finished goods.

Key Responsibilities

Transport & Dispatch Coordination

  • Monitor and record lorry movements using the internal GPS tracking system, ensuring accurate trip logs for all outbound and subcontract (HDG) runs
  • Arrange transport with drivers and external transporters, scheduling pickups and deliveries to meet production and customer delivery timelines
  • Maintain a daily dispatch plan and communicate schedule changes to relevant stakeholders (sales, production, drivers)

Goods Receiving & Quantity Verification

  • Perform quantity checks on all incoming raw materials, subcontracted goods, and purchased items against delivery orders and purchase orders
  • Key in Material Receipt entries into ERPNext promptly and accurately once QC clearance is obtained and flag any quantity discrepancies (short-shipment, over-delivery) to purchasing/QC for resolution

Inventory Placement & Warehouse Control

  • Assign and maintain storage locations (bin/rack/zone) for received materials and finished goods in ERPNext, ensuring physical location matches system records
  • Apply FIFO/FEFO principles where relevant to prevent aging or obsolete stock, particularly for raw material coils and coated/painted items sensitive to storage time
  • Maintain clear labeling and identification of stock (item code, batch, quantity) at each storage location for traceability
  • Ensure segregated storage for non-conforming/quarantined goods, rejected materials, and customer returns pending disposition

Stock Movement & Documentation

  • Issue Delivery Orders and Stock Entry documents in ERPNext for all outgoing shipments, ensuring quantities and item codes match the packing list
  • Maintain proper filing of delivery dockets, GRNs, and transport records for audit and traceability purposes
  • Work with the production and sales teams to resolve any stock discrepancies between physical count and ERPNext records

General

  • Ensure housekeeping and 5S standards are maintained in storage and staging areas
  • Coordinate with production planning on raw material availability and stock levels to support the production schedule
  • Support periodic stock counts / cycle counts, reconcile variances between physical inventory and ERPNext records, and investigate root causes of discrepancies
  • Flag recurring transport, receiving, or system issues to management and suggest process improvements

Job Requirements

Requirements

  • 1 – 3 years of experience in warehousing, logistics, or stock control, preferably in a manufacturing environment
  • Basic understanding of inventory control principles (FIFO, min-max stock levels, bin/location management)
  • Detail-oriented with strong accuracy in quantity checking and data entry
  • Physically able to work in a warehouse environment 
  • Basic proficiency in Microsoft Excel
  • Minimum SPM; Diploma in Logistics, Supply Chain, or related field is an advantage
