THE OPPORTUNITY

Our partner, an Australian Mortgage Broker, is expanding their team and hiring for Submission Officer that plays a critical role in the home loan process by ensuring that loan applications are accurately prepared, submitted to lenders, and amended as required.

This role involves managing the submission of home loan applications, performing necessary amendments or adjustments, liaising with clients, brokers, and lenders, and ensuring compliance with relevant policies and regulations. The ideal candidate will possess excellent attention to detail, strong organizational skills, and a deep understanding of the home loan application process.

KEY RESPONSIBILITIES

1. Loan Application Submissions:

  • Prepare and submit home loan applications on behalf of clients and broker assistants to the lenders.
  • Ensure all required documentation is collected, reviewed, complete, and accurately submitted.
  • Follows client's procedure for following up clients at regular intervals and taking ownership for the submission of each application within the SLA.
  • Track the progress of submitted applications and provide regular updates to clients and brokers.
  • Ensure compliance with all regulatory requirements, lender guidelines, and internal policies during submission.

2. Amendments & Adjustments (pre and post approval):

  • Process and manage amendments to home loan applications, ensuring all changes are accurately reflected and sent to lenders using their required system.
  • Work closely with clients, brokers, and lenders to facilitate amendments when necessary (e.g., change of loan amount, terms, or other conditions).
  • Resolve discrepancies between loan application details and lender requirements.

3. Communication & Client Liaison:

  • Maintain clear and consistent communication with clients, brokers, and lenders regarding the status of loan applications and amendments.
  • Respond promptly to inquiries, providing assistance or clarification as needed.
  • Provide excellent customer service throughout the submission and amendment process, ensuring a smooth and efficient experience.

4. Documentation Management:

  • Ensure all loan documentation is stored and managed in accordance with company policies and compliance standards.
  • Keep accurate records of all submissions and amendments, updating internal systems as required.
  • Prepare and maintain reports on application status, amendments, and outstanding tasks.

5. Compliance & Quality Control:

  • Review all submitted applications and amendments for accuracy and compliance with regulatory requirements (e.g., NCCP, APRA guidelines).
  • Identify and resolve any issues related to missing documentation or non-compliance.
  • Stay up to date on changes in lending policies, financial regulations, and industry standards.

6. Continuous Improvement:

  • Suggest process improvements to enhance the efficiency and accuracy of the submission and amendment process.
  • Participate in training programs to stay current with industry trends, tools, and technologies.
  • Work collaboratively with team members to achieve department goals and ensure high-quality service delivery.

SKILLS, EXPERIENCE & QUALIFICATION

  • Bachelor's Degree in related field.
  • Loan processing experience is preferred.
  • Strong verbal and written communication skills.
  • High levels of attention to detail, accuracy, and professionalism.
  • Can work independently or with a team.
  • Has the initiative and ability to think outside the box.
