Job Description

 

  • Maintain and update the company’s accounts receivable (debtors) recording system accurately and timely.
     
  • Prepare and post invoices for services rendered, delivered goods, completed jobs, and certified progress billings.
     
  • Ensure invoices for renovation and repair jobs are prepared based on approved quotations.
     
  • Verify that the unit value of items invoiced for goods matches approved selling prices.
     
  • Ensure all invoiced items have correct descriptions, quantities, and units.
     
  • Liaise with clients and customers regarding settlement of invoices, addressing queries professionally.
     
  • Monitor, match, and post payments from clients and customers received via cheques, inter-bank transfers, online credit card settlements, and cash.
     
  • Reconcile all payments received to bank feeds and statements.
     
  • Dispatch official company invoices and receipts to clients and customers in a timely manner.
     
  • Monitor outstanding invoices and slow-paying clients.
     
  • Send reminders to slow-paying clients via phone calls, emails, and formal reminders.
     
  • Issue letters of demand to persistent slow-paying clients and follow up as required.
     
  • Check, compute, and prepare monthly servicing charges payable to third-party pool maintenance service providers.
     
  • Compute commissions and incentives payable for the defined period (monthly or quarterly), ensuring they are accurately calculated according to approved rates and criteria.
     
  • Provide feedback to management on ways to improve and upgrade the accounts receivable process and system.
     
  • E-Invoicing & Tax Compliance:
     
  • Prepare and issue e-invoices in compliance with current tax regulations.
     
  • Ensure all invoices include correct tax codes, GST/SST or applicable taxes as required.
     
  • Maintain proper documentation for tax reporting and audits.
     
  • Assist management with reporting and analysis of accounts receivable aging, cash flow projections, and collection strategies.
     
  • Collaborate with other departments (Sales, Project, and Operations) to resolve discrepancies or billing issues.
     
  • Support continuous improvement initiatives by suggesting process enhancements and automation opportunities within the accounts receivable workflow.

Job Requirements

 

  • Diploma or degree in Accounting, Finance, or related field.
     
  • 3–5 years of experience in accounts receivable or similar role.
     
  • Proficient in accounting software, MS Excel, and e-invoicing platforms.
     
  • Strong attention to detail, accuracy, and organizational skills.
     
  • Good communication skills for liaising with clients and internal departments.
     
  • Knowledge of tax regulations and compliance requirements is preferred.
