Job Description

Avante Design is seeking a dynamic and experienced Admin & Operation Executive to join our team in Petaling Jaya, Selangor. In this full-time role, you will be responsible for overseeing the day-to-day administrative and operational activities of our growing organisation, ensuring the smooth running of our business.

Administrative and Accounts Management:

  • Maintain financial records, invoices, and expense reports with high accuracy.
  • Assist in basic bookkeeping and liaise with the accounting team.
  • Handle office administration, documentation, and record-keeping with precision.
  • Ensure compliance with company policies and procedures.


Procurement and Inventory Management:

  • Maintain accurate inventory records and manage stock levels efficiently.
  • Process purchase orders and track deliveries, ensuring no discrepancies.


Logistics and Coordination:

  • Oversee inbound and outbound deliveries, ensuring timely and accurate logistics.
  • Coordinate with transport vendors for efficient distribution.
  • Handle import/export documentation with attention to detail.

Job Requirements

What we're looking for

  • Minimum 2 years of experience in a similar administrative or operational executive role, preferably in a fast-paced, dynamic environment
  • Excellent written and proficiency in languages like Mandarin and English. We are seeking candidates proficient in both English and Mandarin to effectively communicate with our diverse client base and stakeholders.
  • Strong organisational and multitasking skills with the ability to prioritise and deliver results under pressure
  • Excellent communication and interpersonal skills, with the ability to work effectively with cross-functional teams
  • Proficient in Microsoft Office Suite, SQL and experience with office management software
  • Demonstrated problem-solving and decision-making abilities
  • Proactive, adaptable, and driven to continuously improve processes and systems
