Job Description

  • Manage the Product Manager's calendar, appointments, meetings, and travel arrangements.
  • Prepare meeting agendas, take meeting minutes, and track action items.
  • Handle correspondence, emails, phone calls, and other communications on behalf of the Product Manager.
  • Organize and maintain documents, files, and records.
  • Liaise with internal departments, external vendors, suppliers, and business partners.
  • Coordinate cross-functional meetings and ensure timely follow-up on assigned tasks.
  • Assist in communication between the Product Manager and project stakeholders.
  • Prepare presentations, reports, spreadsheets, and business documents.
  • Assist in compiling product-related data, sales reports, and market research findings.
  • Maintain proper documentation of product development activities and project progress.
  • Track project timelines and ensure deadlines are met.
  • Follow up with team members regarding project updates and deliverables.
  • Assist in product launches, marketing activities, and operational coordination.
  • Support the Product Manager in executing business initiatives and special projects.
  • Perform ad-hoc administrative and operational duties as assigned.
  • Assist in event planning, training sessions, and company activities when required.

Job Requirements

  • Diploma or Degree in Business Administration, Management, Marketing, or related fields.
  • Minimum 1-3 years of experience as a Personal Assistant, Secretary, Executive Assistant, or Administrative Executive.
  • Fresh graduates with strong organizational skills are encouraged to apply.
  • Excellent communication and interpersonal skills.
  • Strong organizational and time management abilities.
  • Proficient in Microsoft Office (Excel, PowerPoint, Word) and Google Workspace.
  • Able to multitask, work independently, and handle confidential information professionally.
  • Fluent in English; Mandarin is an added advantage.
