This Admin Executive role is the backbone of our daily operations. You will keep order flows smooth, support customer touchpoints, and make sure the team has the processes and information needed to move fast without drama.

Job Requirements

Responsibilities

Office & Operations

• Maintain daily office routines such as filing, stock records, and basic inventory checks to keep operations running.
• Prepare and update simple reports and logs so the team has accurate sales and stock visibility.
• Manage incoming documents and supplier invoices, ensuring records are organised and easy to retrieve.
• Coordinate with courier partners to track shipments and resolve delivery exceptions.

Customer & Order Support

• Process online orders and update order management systems to reflect status changes promptly.
• Respond to customer enquiries via email or chat with clear, polite messages and escalate issues when needed.
• Handle refunds, exchanges, and basic complaints following company guidelines to preserve customer trust.
• Assist in preparing packing lists and liaise with the fulfilment team to reduce packing errors.

Systems & Continuous Improvement

• Keep product data and simple spreadsheets accurate to reduce order mistakes and speed up fulfilment.
• Suggest small process improvements based on daily observations and help trial simple fixes.
• Support ad hoc tasks like stocktakes, photo shoots scheduling, or marketplace listings when needed.
• Ensure administrative supplies and office equipment are available and in working order.

Requirements

Qualifications & Experience

• Fresh graduate or up to 0 years of related experience in office, retail, or e-commerce environments.
• Certificate or diploma in Business Administration, Office Management, or related field is a plus but not required.
• Comfortable working in a small team with hands-on tasks and varied daily responsibilities.

Hard Skills & Knowledge

• Familiarity with MS Office, especially Excel for basic spreadsheets and reporting.
• Experience using Google Workspace tools, email, and chat platforms for daily coordination.
• Basic understanding of order management or marketplace platforms, and simple inventory tracking methods.
• Ability to type, file, and maintain digital records with attention to detail.
