Job Description

 Overview of the Position:

This role is responsible for supporting the end-to-end planning, coordination, and execution of company-organized events, with a strong focus on Independent Business Owner (IBO) engagement and network development activities.

The position plays a key role to support agents training sessions, recognition events, and business opportunity presentations for IBOs and product roadshows, ensuring all events are executed seamlessly—from setup to dismantling—while maintaining high operational standards.

The role also involves close coordination with internal teams, IBO leaders, and external vendors to ensure timely delivery of services and successful event outcomes that drive network growth and business performance.

The role required to execute the below tasks and initiative:

Event Setup & Execution

  • Coordinate and execute physical setup for events, including furniture arrangement, AV equipment, signage, décor, and booths.
  • Ensure setup aligns with event layout plans and safety standards.
  • Provide on-site operational support during events, handling logistics and resolving last-minute requirements efficiently.

Dismantling & Restoration

  • Oversee and perform timely dismantling of event setups post-event.
  • Ensure all materials and equipment are accounted for, properly packed, and stored.
  • Restore venues to their original condition, ensuring cleanliness and order.

Event Planning & Coordination

  • Develop and implement detailed event plans and timelines, ensuring alignment with the Master Schedule.
  • Coordinate with IBO leaders, speakers, and vendors to confirm event details at least 2 months in advance.
  • Safeguard, update, and distribute the department's training materials and tools, ensuring they are current and effectively support network development activities. Consolidate, monitor, and replenish training materials, stationeries, and supplies on a quarterly basis to support ongoing training events and departmental needs.
  • Plan, organize, and publicize recruitment support activities in advance of new campaigns to attract new recruits. Ensure all event-related communications across media channels are accurate, up-to-date, and delivered within agreed timelines.
  • Serve as the main point of contact for agents, providing regular updates and promptly addressing any concerns or changes to the event plan.

Administrative Support

  • Coordinate with internal teams to gather requirements and manage event schedules, venue bookings, and attendee lists.
  • Support in event registration processes, including IBO lists management and RSVP tracking.
  • Assist in preparing event materials such as handouts, presentations, name tags, and signage.
  • Raise and manage requisitions to relevant departments for printing of training materials and documents, production of banners and event signage and procurement of event-related items and supplies.
  • Track requisition status and ensure timely delivery and quality of requested materials.
  • Maintain an organized archive of event documentation, material inventories, and requisition records.

 


Job Requirements

To be successful in this role, we are expecting the below:

  • Degree in Event, Hospitality, or related field preferred.
  • Experience in event planning, travel coordination, or sales administration is a plus.
  • Min One (1) of working experience.
  • Proficiency in Microsoft Excel and basic data filtering/reporting (VLOOKUP and Pivot Table).
  • Proficient in both verbal and written in Bahasa Melayu, English and Mandarin as this role will communicate with internal and external stakeholders that speak and write in Mandarin.
  • Willing to work on weekends and after working hours for events.
  • Willingness to travel as required.
  • Work location: Bukit Jalil (Near to Pavilion Bukit Jalil)
  • Working days and hours: Monday to Friday ( 10am - 7pm)
