The Role

We’re looking for an Operations & Administration Executive to help scale Blueground’s portfolio and internal infrastructure in Kuala Lumpur. This is a high-impact, execution-focused role at the intersection of property onboarding, procurement, administration, and people operations. 

As we expand, operational precision becomes our competitive advantage. You’ll be the engine ensuring new units go live on time, vendors are aligned, processes are structured, and internal systems scale alongside growth.

What You’ll Do

  • Lead end-to-end property onboarding coordination from unit handover to go live — ensuring timelines, quality standards, and operational readiness are consistently met.
  • Manage procurement and purchasing processes, including maintaining strong relationships with existing vendors, sourcing new suppliers, negotiating pricing, tracking purchase orders, and driving cost control initiatives.
  • Oversee inventory planning and replenishment, including coordinating international supplier orders (e.g., China-based vendors) and managing logistics to Malaysia.
  • Build and maintain trusted relationships with contractors, suppliers, building management offices, and service providers to ensure smooth operational execution, including securing work permits and approvals where required.
  • Collaborate closely with Real Estate and on-the-ground Operations teams to ensure seamless handovers and successful unit launches.
  • Track budgets, monitor spending efficiency, and contribute to continuous process improvements that optimise both speed and cost.
  • Support administrative functions including documentation management, company compliance tracking, utilities coordination, contract filing, and internal system organisation.
  • During lower onboarding cycles, proactively refine workflows, strengthen SOPs, and enhance internal systems to support scalable growth.

Job Requirements

What We Are Looking For

  • Urgent Hiring (March Intake)
  • 2–5 years of experience in operations, procurement, administration, property management, hospitality, or a related field.
  • Strong organisational and project coordination skills, with the ability to manage multiple timelines simultaneously.
  • Detail-oriented with a proactive, solution-driven mindset.
  • Comfortable working in a growth-stage environment where priorities can shift quickly.
  • Strong communication skills and confidence in vendor and stakeholder coordination.
  • Experience in short-term rentals, real estate, hospitality, or startup environments is an advantage.
  • Entrepreneurial drive, adaptability, and ownership mentality.
