About the Role

Blueground Kuala Lumpur is looking for a Supply Chain & Inventory Coordinator to support operations by ensuring that supplies, inventory, and internal logistics run smoothly across our apartments and operational locations.

This role manages purchasing of operational supplies, maintains accurate inventory records, coordinates deliveries, and ensures stock availability to support daily operations. The role requires strong organisational skills, attention to detail, and consistent coordination with suppliers, internal teams, and delivery partners.

Key Responsibilities

Procurement & Purchasing

  •  Replenish operational supplies based on planning from the Operations Manager.
  •  Maintain minimum stock levels for standard operational items.
  •  Place orders through approved vendors and online marketplaces (Shopee, Lazada, Alibaba, Taobao, etc.).
  •  Source alternative suppliers when existing suppliers experience delays or cancellations.
  •  Track order status and follow up with vendors to ensure timely delivery.

Supplier Coordination

  •  Maintain clear and professional communication with suppliers and marketplace sellers.
  •  Ensure purchased items arrive in good condition and match the order specifications.
  •  Maintain good working relationships with approved vendors.

Inventory Management

  •  Maintain accurate and up-to-date records in the inventory management system.
  •  Monitor stock levels to ensure supplies are always available for operations.
  •  Report stock shortages or discrepancies promptly.
  •  Maintain an organised and tidy storage area.

Logistics & Internal Distribution

  •  Coordinate delivery of stock from the office or warehouse to company locations.
  •  Communicate with delivery partners (e.g., Lalamove drivers) to ensure smooth deliveries.
  •  Arrange loading and unloading of goods with warehouse personnel when required.

Documentation & Administration

  •  Prepare and maintain Delivery Order Forms for items delivered to company outlets.
  •  Record all stock movements accurately.
  •  Ensure supplier invoices are submitted to the Finance department and followed up for timely payment.

Language Requirements

  •  Bahasa Malaysia – Required
  •  English – Required
  •  Chinese (Mandarin) – Advantage

Preferred Qualities

  •  Reliable and responsible with strong follow-through.
  •  Comfortable communicating with suppliers and logistics partners.
  •  Proactive in solving operational supply issues.
  •  Able to maintain well-organised systems and documentation.

Job Requirements

  • Diploma or Bachelor’s Degree in Business Administration, Logistics, Supply Chain, or a related field.
  • 1–3 years experience in procurement, inventory management, logistics, or operations coordination.
  • Familiarity with e-commerce platforms such as Alibaba, 1688 or TaoBao is an advantage.
  • Proficiency in Microsoft Excel or Google Sheets.
  • Strong organisational skills and attention to detail.
  • Ability to coordinate multiple tasks and respond to operational needs efficiently.
