PROJECT ADMINISTRATION MANAGER (Contract)

ESSENTIAL DUTIES & RESPONSIBILITIES 
  • Contract Administration​
  • Document Management​
  • Coordinate and participate in the question/response phase of the bid. ​
  • Be responsible for managing the project within Owner’s Project Management software, PM-Web. ​
  • Assess each proposal for conformance to RDP requirements. Provide OWNER and Developer a list of detailed deficiencies of each proposal during each round of bidding. ​
  • Assist in award process.​

  • Be responsible for utilization of the OWNER Box document management process and system and PM-Web. The Consultant will manage the document upload process (including version and quality control) of all project documents into the document management system (OWNER Box + PM-Web) from all teams to include GE Aerospace / Developer / Consultants / Contractors. ​
  • Own the document management process and system and will maintain an organized record of all projects documents, key correspondence, and other data relevant to meet delivery and reporting requirements and support handover / transfer to operations at project close. ​
  • Own the document management system that will include commonly used templates and OWNER standards. ​
  • Identify, and list documents required for handover, final formats, roles and responsibilities for document handover and the timing for making the documents available to operations. ​
  • Ensure all documentation generated during the project are stored in appropriate Tollgate sub-folders in Box or PM-Web.​
  • Support in arranging any supplier pre-bid conferences.​
  • Assist in issuing bid documents.​
  • Participate in reviewing and reporting on tenderer’s submissions, programs, and method statements, prepare a bid tabulation / comparison matrix, and advise on acceptability.​
  • Assist with ComplyWorks process in the event Owner directs team to prequal vendors through ComplyWorks. Participate in prequalification / 1st stage tender interviews as required.​
  • Preparing, and submission of, initial data to designers.​
  • Managing and coordinating the design process and control of information flow within the design team (e.g., Establish and manage project design meetings and records of decisions)​
  • Ensure all design documentation, drawings, and deliverables are uploaded to the OWNER Box and PM-Web.​
  • Establish and implement a process for communication between the PjM, Owner, Developer, Designer, and Contractors.​
  • Ensure that all minutes are promptly uploaded to the appropriate Tollgate Box folder and PM-Web.​
  • Manage the communication and distribution of documentation for the project.​
  • Conduct or attend construction meetings and all site meetings throughout construction stage and issue detailed minutes.​
  • Conduct or attend weekly construction site meetings with Contractors and regularly scheduled meetings with the Owner, Designers, and Contractors (OAC) as required by the project.​
  • Ensure appropriate permits are submitted to the appropriate AHJ and copies are loaded into Box and PM-Web.​
  • Issuance of notifications, correspondences, and submission of information to contractors and consultants.​
