Job Description

  • Office Operations (25%)
     
  • Oversee the management of office facilities, equipment upkeep, and the overall work environment.
     
  • Monitor inventory of office supplies and fixed assets, including maintaining records and conducting audits.
     
  • Manage contracts related to cleaning, security, and maintenance services.
     
  • Procurement & Vendor Management (20%)
     
  • Process purchase requests, obtain quotations, create purchase orders, and manage invoice processing.
     
  • Keep vendor lists updated, assess vendor performances, and ensure cost efficiency.
     
  • HR & Staff Logistics Support (20%)
     
  • Assist with managing attendance, leave administration, temporary staffing, and onboarding/offboarding processes.
     
  • Facilitate staff welfare, handle medical/leave requests, and coordinate company events.
     
  • Fleet & Travel Management (10%)
     
  • Manage the company vehicles, including scheduling, maintenance, insurance, and fuel reimbursements.
     
  • Review travel requests, organize travel arrangements, and validate expense submissions.
     
  • Documentation & Compliance (10%)
     
  • Create and maintain standard operating procedures, templates, and both physical and digital filing systems.
     
  • Ensure adherence to statutory obligations (licenses, insurance, health & safety regulations).
     
  • Team Supervision & Process Improvement (10%)
     
  • Guide, train, and oversee administrative staff.
     
  • Execute efficiency projects, implement cost-saving measures, and drive service enhancements.
     
  • Other Duties (5%)
     
  • Perform any additional tasks as assigned by the Manager, including support for corporate events and projects.

Job Requirements

  • Education:
    A Diploma or Bachelor’s Degree in Business Administration, Human Resources, Management, or a relevant discipline.
     
  • Experience:
     
  • At least 5-7 years of experience in administrative or office management roles.
     
  • Previous experience in leading a small team is a plus.
     
  • Familiarity with procurement, vendor management, and office operations is desirable.
