Job Description

Lease & Tenancy Management

• Manage lease agreements, including lease renewals, negotiations, and documentation with landlords and property management offices.
• Monitor lease expiry timelines and ensure timely renewal or termination actions.
• Liaise with landlords, legal teams, and internal stakeholders on tenancy matters.
• Track rental commitments, tenancy terms, and compliance with lease conditions.

Branch Operations Support

• Provide operational support to branches to ensure smooth daily operations.
• Handle operational issues raised by branches and ensure timely resolution.

Branch Maintenance & Asset Management

• Oversee branch maintenance, repair, and upkeep to ensure outlets remain operational and aligned with brand standards.
• Manage company assets, including tracking, maintenance coordination, and proper asset utilization.
• Liaise with contractors, vendors, and service providers for maintenance and repair works.
• Conduct periodic inspections to ensure outlets are properly maintained.

Business License & Compliance Monitoring

• Monitor and manage business license renewals for all branches to ensure compliance with local authorities and regulatory requirements.
• Track license expiry dates and coordinate timely renewals with relevant authorities and internal departments.
• Maintain proper documentation and records for all business licenses and permits.

Documentation & Reporting

• Maintain proper documentation for tenancy agreements, asset records, maintenance activities, and licensing records.
• Prepare operational reports, cost tracking, and status updates for management review.
• Ensure compliance with internal procedures and documentation standards.

Job Requirements

•  Education: Candidate must possess at least a Professional Certificate, Diploma, or Bachelor's Degree in Business Studies/Administration/Management, Property Management, or equivalent.
• Experience: At least 2–3 years of working experience in Lease/Tenancy Management, Retail Operations, or Property/Facilities Management.
• Technical Skills: Strong knowledge of Lease Agreements, tenancy negotiations, and landlord relations.
• Familiar with Business Licensing and renewals with local authorities (e.g., DBKL, MBPJ, etc.)
• Experience in Asset Management and coordinating with contractors for maintenance/repairs.

Soft Skills:

• Excellent negotiation and communication skills to deal with landlords and vendors.
• Highly organized with the ability to track multiple expiry timelines (Leases & Licenses).
• Proactive problem-solver to handle branch operational issues.
• Mobility: Must possess own transport and be willing to travel to different branch locations for inspections.
