Executive of the International Student Visa Unit is responsible for managing and facilitating visa-related processes for international students, ensuring compliance with Malaysian immigration laws and regulations.

Visa Application and Processing

• Oversee the end-to-end process of student visa applications, renewals, cancellations, and appeals.
• Verify and process required documentation for submission to the relevant authorities (e.g.,EMGS, Immigration Department).
• Track and follow up on visa application statuses to ensure timely processing.

Compliance and Reporting

• Ensure adherence to immigration and institutional policies regarding visa management.
• Prepare and submit periodic reports to management and relevant authorities, including EMGS and Immigration.
• Maintain accurate and up-to-date records of all visa-related transactions and documentation.

Student Support and Communication

• Provide guidance to international students on visa requirements, processes, and regulations.
• Address queries or concerns related to visas promptly and professionally.
• Conduct orientation sessions or briefings on visa procedures and compliance for new students.

Stakeholder Engagement

• Liaise with the Immigration Department, EMGS, and other government agencies to ensur smooth processing of visa matters.
• Collaborate with internal departments, such as admissions and finance, to align visa pro with institutional requirements.

Policy Development and Improvement

• Assist in reviewing and improving visa-related policies and procedures to enhance operational
• Stay updated on changes in immigration laws or policies and ensure timely implementation within the institution.

Administrative and Ad Hoc Tasks

• Manage and update visa-related data in the institution’s systems or portals.
• Provide administrative support for events or activities related to international students.

Other Tasks

To carry out any duties or responsibility that are assigned by the Manager/Senior Manager/Registrar/Management.

Qualifications/Education

• Degree with a minimum 3 years of working experience in related field
• Diploma can be considered with more 6 year of experience in related field
• Experience in working in Higher Education industry and international companies will be an added advantage

Other Requirements 

• Familiarity with the higher education landscape in Malaysia is an added advantage.
• Willingness to work flexible hours when needed, especially during peak seasons.
• Experience Good knowledge of international documents i.e. certificates, passports, transcripts, education certificates, etc.
• Experience in dealing with EMGS/Immigration Department and good knowledge on other pass matters
