Job Description
We are looking for a detail-oriented and resourceful Marketing Admin Assistant to support the day-to-day execution of marketing campaigns, projects, and operations. This role plays a crucial part in ensuring marketing materials, processes, and on-ground activities are well-coordinated, timely, and aligned with brand standards. The ideal candidate is organized, proactive, and thrives in a fast-paced retail marketing environment.
Key Responsibilities
1.Marketing Material Coordination
- Liaise with vendors and internal teams to manage the printing and production of marketing materials.
- Ensure timely delivery and proper display of materials at retail outlets, in accordance with campaign briefs and brand guidelines.
- Track material deployment and follow up with outlets to confirm compliance.
2.Procurement & Inventory Support
- Assist in the procurement process — from sourcing and raising requests to tracking deliveries — by working closely with the central support team and finance.
- Manage marketing stock levels, merchandise, and promotional items, ensuring proper documentation and stock-in/out records are maintained.
- Monitor and track staff marketing incentives to ensure accuracy, timeliness, and proper reporting.
3.Campaign & Activation Support
- Coordinate arrangements for external promoters, ensuring they are scheduled, briefed, and present as required.
- Support briefing and simple training of promoters to ensure understanding of campaign objectives and talking points.
- Assist in the preparation and execution of campaign assets, including photo and video shoots, before, during, and after production.
- Deliver marketing materials to outlets when necessary.
- Support the marketing team in the preparation of campaign briefing decks and performance tracking sheets.
4.Insights & Competitor Monitoring
- Conduct regular competitor and market landscape analysis, including pricing and utility usage monitoring, to inform strategic and tactical marketing decisions.
- Monitor competitor promotions and retail activity, capturing insights to support campaign planning and brand positioning.
- Consolidate customer and internal team feedback on campaigns and activations to support continuous improvement and post-mortem reviews.
5.General Administration & Coordination
- Ensure accurate and timely maintenance of online documentation and filing systems related to marketing materials, campaign assets, vendor lists, and performance records.
- Support outlet-based campaigns, including grand openings and special activations, by assisting with logistics and coordination tasks as needed.
- Provide administrative support to the broader marketing team to ensure smooth campaign execution and daily operations.
