1. Project Documentation & Filing: - Prepare, format, and maintain project documents, reports, meeting minutes, and correspondence. - Ensure all project records are properly organized and accessible in both digital and physical formats. 2. Scheduling & Coordination - Arrange project meetings and stakeholder sessions, including venue/online setup. - Track project timelines, milestones, and deliverables, updating schedules as required. 3. Reporting & Data Management - Assist in compiling project progress reports, status updates, and performance summaries. - Maintain project databases and trackers to ensure data accuracy and timely updates. 4. Stakeholder Support - Act as a liaison between the PMO, internal departments, and external parties. - Facilitate communication flow and follow up on pending actions. 5. Compliance & Governance - Support adherence to PMO processes, templates, and documentation standards. - Assist in monitoring compliance with regulatory and organizational requirements. 6. General Administrative Support - Handle correspondence, procurement requests, travel arrangements, and petty cash claims related to projects. - Provide day-to-day administrative assistance to the PMO team.
- Education: Diploma or Bachelor’s Degree in Business Administration, Project Management, or related field. - Experience: Minimum 2 years of administrative or project support experience, preferably in a PMO or project-based environment. - Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Familiarity with project management tools/software is an advantage. - Communication Skills: Strong verbal and written communication skills in English and Bahasa Malaysia. - Organizational Skills: Excellent attention to detail, ability to multitask, and strong time management skills. - Interpersonal Skills: Ability to work collaboratively in a team and maintain professional relationships with internal and external stakeholders. - Adaptability: Able to work in a fast-paced environment with changing priorities and deadlines.
