Job Description

About the Role:
We are seeking a highly organized and proactive HR & Admin Executive to manage both human resources and office administration functions. The ideal candidate will ensure smooth HR operations, statutory compliance, employee engagement, and efficient office management to support our growing organization.

Key Responsibilities:

Human Resources:

  • Manage end-to-end HR operations including recruitment, onboarding, offboarding, employee relations, disciplinary matters, payroll administration, performance management, and HR documentation.
  • Ensure compliance with statutory requirements such as EPF, SOCSO, EIS, PCB, and HRD Corp, including accurate calculations and timely submissions to relevant authorities.
  • Handle LHDN documentation, including preparation and submission of EA Forms and E-Forms for both local and expatriate employees.
  • Represent the company in dealings with government agencies (LHDN, JTK, JPP) on employee-related matters, compliance issues, and legal/regulatory requirements.
  • Lead recruitment activities, including job postings, candidate screening, interview coordination, and onboarding to ensure a smooth hiring process.
  • Conduct probation performance reviews and support the development of a performance management framework for continuous assessment of permanent staff.
  • Process monthly payroll and generate payroll-related reports 
  • Maintain accurate HR records, employment contracts, and data to support workforce planning and management decision-making.
  • Manage employment agreement stamping and ensure timely submission to avoid penalties.

Office Administration:

  • Oversee day-to-day office operations, including inventory management, stationery supplies, and coordination of equipment servicing to maintain a conducive work environment.
  • Supervise expatriate hostel management, including upkeep, rental payments, internet subscriptions, and utilities.
  • Handle documentation and coordination for expatriate work visa applications.

Job Requirements

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • Minimum 1–2 years of experience in HR and office administration.
  • Strong knowledge of Malaysian statutory requirements (EPF, SOCSO, EIS, PCB, HRD Corp).
  • Proficiency in Microsoft Office, particularly Excel, for payroll processing and reporting.
  • Excellent organizational, communication, and interpersonal skills.
  • Ability to work independently and manage multiple priorities efficiently.
  • Proficiency in Mandarin is an added advantage.
