As a Client Servicing team member you are the backbone that keeps client relationships steady and orders on track. You will handle enquiries, coordinate with design and fulfilment, and make sure every client feels heard and supported.

Responsibilities

Client Relations

• Respond to client enquiries via email and phone with clear, friendly communication and timely follow up.
• Confirm order details, personalise requests, and manage expectation around lead times and delivery.
• Maintain strong client records and track conversation history so handovers are seamless.
• Handle routine aftercare and minor issue resolution to keep client satisfaction high.

Order & Project Coordination

• Create and update order entries in the central tracker and ensure accuracy of item lists and quantities.
• Coordinate with design and packing teams to confirm custom artwork and packaging requirements.
• Liaise with suppliers to check stock and arrange replacements when items are unavailable.
• Arrange courier bookings and monitor shipments until delivery confirmation is received.

Internal Collaboration & Reporting

• Prepare simple daily and weekly reports on order status, client feedback, and common issues.
• Work with marketing and product teams to share client insights that improve gift options and messaging.
• Support inventory counts and small procurement tasks when needed.
• Participate in regular team reviews to improve workflows and reduce errors.

Requirements

Qualifications & Experience

• Fresh graduates or candidates with internship experience around customer service or operations are welcome.
• Comfortable working in a small team and able to manage several simple tasks at once.
• Willingness to learn order systems, packaging basics, and e-commerce processes.

Hard Skills & Knowledge

• Proficiency in Microsoft Excel and Microsoft Word for order lists and basic reports.
• Accurate data entry habits and experience keeping digital records up to date.
• Familiarity with basic CRM tools or a willingness to learn common CRM workflows.
• Knowledge of courier booking processes or order management is a plus.

• Strong verbal and written communication, able to explain status and next steps clearly.
• Good attention to detail and a methodical approach to avoid order errors.
• Reliable time management and the ability to meet deadlines for multiple small projects.
