1. Customer Order & Planning

• Take overall responsibility for customer requirements and follow up until finished goods are ready for shipment.
• Confirm customer purchase orders upon receipt via email or phone.
• Convert customer purchase orders into production plans and schedules.

1. Production Coordination

• Enter customer sales orders and production job orders into the system.
• Distribute production plans and job orders to the production team.
• Monitor daily production output to ensure products are produced according to the planned schedule.

1. Raw Material Planning & Control

• Monitor raw material status and ensure shortages are resolved before production starts.
• Prepare raw materials according to the production schedule and estimated mass production date.
• Raise purchase orders to suppliers when raw materials are insufficient to support customer orders.

1. Receiving & Inventory Update

• Receive incoming goods from suppliers or vendors and verify delivery documents.
• Update incoming raw material records in the system for receiving transactions.

1. Schedule Control & Adjustment

• Call meetings when production schedule discrepancies occur.
• Adjust production plans for rejected items, replacement quantities, additional customer orders, or internal production delays.

1. Tooling & Maintenance Coordination

• Coordinate with the production supervisor on mould or tooling maintenance and repair.
• Prepare maintenance documents and supporting samples before sending items for vendor repair or modification.
• Notify customers by email regarding maintenance or tooling-related matters.

Daily Closing Activities

• Update completed production job orders in the system, including any quantity changes.
• Perform daily stock-out transactions for packaging materials and raw materials in the system.

ISO & KPI Reporting

• Prepare monthly sales versus cost reports.
• Prepare monthly billing advice to customers.
• Update monthly machine loading capacity for all plants.
• Monitor and report customer on-time delivery performance monthly.
• Monitor supplier performance monthly.
• Prepare quarterly inventory accuracy reports and submit them to the Accounts Department.
• Prepare yearly customer satisfaction surveys for customer evaluation.

General Duties

• File and maintain records of all completed work.
• Maintain good housekeeping (5S) and safety practices on the production floor and in the office.
• Perform ad-hoc tasks assigned by manager and director.

Job Requirements

 Qualifications

• Proficient in Planning and equipped with good Analytical Skills
• Excellent Communication and Customer Service skills to collaborate effectively with team members, suppliers, and clients
• Strong organizational skills and attention to detail to maintain accurate inventory and production records
• Proficiency in using Microsoft Office applications
• Fresh Graduate Diploma and Bachelor’s degree of any field is applicable
• Previous experience in a similar role, particularly in a manufacturing environment is preferable
• Able to converse in Malay and English
