OVERVIEW

  • To develop and establish overall office administrative system for Sales Department.
  • To form, lead and manage a team of Sales Operations.
  • To establish and constantly review business process – Standard Operating Procedure (SOP).
  • To establish a systematic and organized reporting system.
  • To ensure the Department is in full compliance with company's quality certifications.
  • To drive and cultivate Sort, Set in Order, Shine, Standardize, Sustain (5S) culture.
  • Responsible for Customer Setup, Order to Cash and Demand Planning:
    • Customer Data Management.
    • Credit Management.
    • Order Management.
    • Order Fulfilment.
    • Invoicing and Payment.
    • Demand Review.
  • Responsible to set up and manage an organized office administration system:
    • In compliance with Human Resources (HR) rules and regulation.
    • Handle disciplinary issue.
    • Implement company policies.
    • Establish a filing and correspondence system.
    • Staff recruitment program.
    • Control and monitor office expenditure.
    • Maintain and upkeep of the sales office.
  • Overseeing overall Sales Operations team:
    • Manage a successful team covering Assistant Manager (AM) to Customer Assistant (CA) levels.
    • Ensure the team consistently meets or exceeds daily performance metrics.
    • Provide coaching and training.
    • Handle recruitment, appraisal & promotion.
    • Act as liaison/partner within sales team and internal customers.
    • Manage inventory for glove samples.
  • Standard Operating Procedure (SOP) / Work Instruction (WI) / Structured On-The-Job Training (SOJT) establishment and review:
    • Responsible for the development, implementation and analyse SOP/WI/SOJT for sales processes:
      • Sales order entry by AX.
      • Customer complain handling SOP.
      • Shipment recall SOP.
      • Artwork handling.
      • Credit limit SOP and approval process.
  • Maintain AX:
      • Customer master file.
      • Product item creation – Bill of Materials (BOM) / Finished Goods (FG) creation.
      • Maintain accurate customer's pricing.
  • Establishing and managing an efficient and detailed reporting system:
    • Contract & agreement filing.
    • Tracking departmental Key Performance Indicator (KPI) in a monthly basis.
    • Provide monthly sales forecast to the relevant departments.
  • Handling internal and external audit - to ensure business operation and processes are in compliance with ISO certifications.
    • Establish a systematic filing system.

REQUIREMENTS

Education:

  • Bachelor Degree in Business Administration or any equivalent work experience.

Work Experience:

  • Minimum 8 years working experience in sales operations management including demonstrated success, improving sales, operations processes.

Technical and Professional Knowledge:

  • Order fulfilment process monitoring and understanding actions/steps needed to ensure order fulfilment.
  • Pipeline management – understand the needed adjustment to improve sales performance down the sales funnel.
  • Operation activities & Information Technology (IT) platform management (build report(s) that informs sales team and leaders on historical, current and anticipated results).
  • Customer Relationship Management (CRM) and database software management systems.
