Job Description

  Sale & Admin Job Scope
A. Sales-Related Responsibilities

  1. Sales Enquiry & Customer Service
  •  Attend to walk-in, phone, and online enquiries.
  •  Provide property details, pricing, and project information to potential buyers.
  •  Maintain good customer relations and follow up with prospects.
  1. Sales Documentation & Processing
  •  Prepare and issue booking forms, offer letters, sales & purchase (S&P) agreements, and receipts.
  •  Coordinate with purchasers, solicitors, and bankers for loan and documentation matters.
  •  Ensure all sales documents are complete and properly filed.
  1. Sales Monitoring & Reporting
  •  Update and maintain sales tracking systems (unit sold, available, on-hold).
  •  Prepare daily/weekly/monthly sales reports for management.
  •  Monitor progress of S&P signing, loan disbursement, and collection status.
    4. Marketing Support
  •  Assist in launching events, exhibitions, and roadshows.
  •  Help prepare sales kits, brochures, banners, and other marketing materials.
  •  Coordinate with marketing team for promotional activities and customer database updates.

B. Administrative Responsibilities

  1. Office Administration
  •  Handle correspondence, filing, and document control.
  •  Prepare letters, memos, and meeting minutes.
  •  Manage schedules, appointments, and communication with external parties.
  1. Sales Office Support
  •  Maintain stock of office and marketing materials.
  •  Ensure sales gallery, show units, and display materials are in good condition.
  •  Coordinate with vendors, contractors, or agents for maintenance or supplies.
  1. Coordination Between Departments
  •  Liaise with finance, project, and legal departments to ensure smooth sales and administrative flow.
  •  Follow up on payment collection and project progress updates.
  •  Update management on issues or delays involving purchasers or external parties.
  1. Record & Data Management
  •  Maintain purchaser database and unit availability list.
  •  Archive all sales-related documents (booking, SPA, correspondence).
  •  Ensure confidentiality and accuracy of information
