Role Overview

The Event Operations Executive is responsible for translating creative event concepts into seamless, high-quality on-ground execution. This role ensures that every event—from corporate launches to private celebrations—is delivered with precision, originality, and the signature styling standard of Helium & Konfetti.

You’ll work closely with the creative and planning team to manage logistics, coordinate vendors, and oversee installations, ensuring that no two events look the same while maintaining operational excellence.

Key Responsibilities

Event Execution & Operations

• Plan and manage end-to-end event operations, from pre-event preparation to post-event teardown 
• Execute event setups including décor installations, balloon styling, and staging elements 
• Ensure all event elements are delivered according to creative direction and client expectations 
• Oversee on-site event flow, troubleshooting issues in real time 

Logistics & Coordination

• Coordinate with internal teams, suppliers, and vendors (e.g. props, rentals, printing, venues) 
• Manage inventory, rentals, and transportation of event materials and props 
• Prepare detailed event timelines, setup schedules, and crew briefings 
• Ensure timely delivery and setup across multiple event types (corporate & social) 

Creative Implementation

• Work alongside the design/styling team to bring creative concepts to life 
• Ensure quality control of visual elements (balloon structures, themed setups, installations) 
• Assist in adapting designs based on site conditions and client feedback 

Client & Stakeholder Management

• Support client communications during pre-event and on-site phases 
• Represent the company professionally during events and maintain strong client relationships 
• Ensure client satisfaction through attention to detail and responsiveness 

Team & On-Site Leadership

• Lead setup crews and part-time staff during event days 
• Delegate tasks effectively and ensure smooth coordination under tight timelines 
• Maintain high standards of safety, efficiency, and teamwork on-site 

Job Requirements

Requirements

• 1–3 years experience in event operations, production, or related field 
• Strong organizational and multitasking skills 
• Hands-on, proactive, and able to work in fast-paced environments 
• Willingness to work weekends and flexible hours (event-based schedule) 
• Good problem-solving skills and ability to stay calm under pressure 
• Team player with strong communication skills 

Bonus:

• Experience in event styling, décor setup, or creative production 
• Familiarity with tools/materials used in event installations (e.g. props, balloon styling)
