Role


Duties & Responsibilities
The principal accountabilities of the Corporate Reputation & External Relations (CR&ER) Executive shall cover:
• Coordination on the development of Annual Report and Sustainability Report;
• Plan and execute the deliverables and logistics related to the Annual General Meeting and corporate events;
• Support in the development of content creation and curation for various channels and platforms, for both internal and external communications; and
• Support in the planning, implementation and coordination of sustainability and ESG related initiatives or requirements for the Company.

The accountabilities of the CR&ER Executive are further elaborated in the job scope below:

Development of Annual and Sustainability Reports
• Responsible for the development of Annual and Sustainability Reports, where the incumbent is required to:
• Coordinate and communicate with various departments to compile, collate and organise information.
• Coordinate with the appointed agency/agencies to support with the development and production of reports.
• Monitor and manage development and production timelines and deadlines of the reports.
• Ensure Company’s annual regulatory reporting is complete and accurate by closely coordinating with the Company Secretary and Legal departments throughout the development process.

Internal and External Communication
• The incumbent is responsible to support the Section Head for content creation and curation for both internal and external communication.

For external communication:
• Draft speeches and talking points for the Management participating in external events.
• Draft write-ups for media publication (online and print).
• Update content in corporate website and social media.
• Update corporate presentation slide pack.
• Review contents developed by other departments that are intended to be published or presented on external platforms. This includes materials for exhibitions and roadshows.
• Co-manage with Section Head, correspondences that are sent to the Corporate Affairs mailbox. Responsibilities include to route sender’s email to the correct department for further action and respond to questions from shareholders in a timely manner. The Corporate Affairs mailbox to be monitored Monday to Friday, during office hours.

For internal communication:
• Draft speeches and talking points for the Management participating in internal events.
• Review internal communication drafts submitted by departments and publish the approved internal communications to all employees. The incumbent will also be tasked to draft internal communication. He/She will be responsible for updating content on the main page of the intranet.

Event Planning & Execution – Annual General Meeting
• Responsible for the planning and execution of the Company’s main event i.e. the Annual General Meeting, where the incumbent is required to:
• Support the Section Head on the logistics related to the event i.e. coordination with appointed agencies on the booking of venue, AV equipment rental, photo/videography, branding at venue etc.
• Support the Section Head with the development of AGM presentation slides, the CEO’s presentation materials and list of anticipated questions.
• Coordinate with appointed agencies on submitting materials required prior to the scheduled AGM date.
• Monitor and manage event timelines and deadlines. Organise weekly progress meetings and rehearsal.
• Besides the AGM, the incumbent may be tasked to undertake the planning and organisation of other corporate events as instructed by the Management.

Sustainability and ESG Initiative
• Support in the implementation of initiatives, policies/procedures, and guidelines that are aligned with HRC’s Sustainability & ESG Framework or function, as well to serve as the secretariat of the Sustainability Steering Committee.
• Track and monitor HRC’s sustainability/ESG performance where HRC receives ratings from i.e. FTSE4GOOD.

Image Library & Branding Materials
• Custodian of HRC’s image bank. Responsible for arranging corporate photography for annual and sustainability reports, and website.
• Manage and monitor inventory of corporate brand materials i.e. buntings, mobile exhibition units etc.

Crisis Response & Issues Management
• A member of the Emergency Management Team (EMT), the incumbent will be involved to support with the coordination of crisis communication or issues management.

Department Administration Matters
• Act as department focal (for Corporate Affairs) on all administrative matters and operations such as monitoring of budget & expenses; purchasing; and other administrative matters.
• There will be occasions where the incumbent will be selectively involved in special initiatives or projects as instructed by the Management.


Job Requirements

Job Requirements
• Degree in Mass Communication/ Communication/ Marketing/ Business Administration/ Journalism
• Minimum 3 years of experience in a communications or marketing communications role
• Experience working in public listed companies would be advantageous
• Good command of spoken and written English.
• This role requires the ability to confidently manage multiple assignments. Therefore, having commendable project management & organisational skills with attention to detail is a must.
• Proficient in all Microsoft Office tools.
• Experience in using Canva, Adobe Illustrator, InDesign would be advantageous.
