Job Description
1. Faculty Strategic Planning, Management and Administration
• Coordinate the Faculty Strategic Plan which involves the preparation of a range of
analytical and informative documents, ensuring appropriate internal and external
consultations have taken place within the faculty.
• Manage and coordinate the reporting of any strategic initiatives and coordinate the
production of strategic management plans.
• Collaborate with the Faculty Management Board members to support informed decision-
making with regards to academic administration, systems and policies, finance, human
resources, and other relevant areas; by supplying and when necessary, creating appropriate
management information and giving advice as and when required.
• Operates day-to-day line management of the functions within the PSS members
responsible for managing processes relating to administrative services, student and
course support, marketing and communication, finance, and human resources.
• Advise and execute the correct governance practices in line with the University Quality
Manual, auditing bodies, and accreditation bodies either local or international e.g. student
academic records management, examination and moderation processes, and other
processes or requirements as required by these bodies.
• Managing, facilitating, and implementing changes within the faculty, continuously
reviewing the support infrastructure to ensure that it remains efficient, effective, and
responsive to the faculty’s strategic directions.
• Keeping abreast of developments in other Faculties and the broader university to monitor
what entails best practice and how it can be achieved and maintained in the faculty.
• Act autonomously within broad guidelines determined by the Faculty Dean and University
Management; manage, organise, and prioritise according to the requirements of Faculty
Strategic Plans and operational needs.
2. Financial Management
• Coordinate the planning, development, and management of the budgets and finances of
the faculty and schools within the faculty, to the faculty’s operations and activities.
• Providing budget analysis as required or relevant, including the preparation of income and
expenditure projections, and giving advice and recommendations based on the faculty’s
strategic planning while working closely with the Faculty Dean, Heads of School, and the
finance department.
• Operationalise including reviewing, authorising, managing, and monitoring expenditures
within the spending allocation, evaluating the budget against actual outcomes, and
implementing the correct procedures in compliance with the finance department.
• Report spending concerns to the Faculty Dean and Heads of School/Division when
necessary and make recommendations in managing problematic areas.
3. People Management
• Managing the faculty office administration activities including the faculty level of
recruitment, induction, management, development, and appraisal/review processes, to
ensure that they carry out their duties effectively while meeting their career objectives.
• Ensure resources are deployed most effectively and efficiently and are responsible for
implementing the best practices across the faculty, including coaching and advising
academic and support staff supervisors on staff management issues.
• Ensure the incorporation of principles, aims, and objectives of Equal Opportunity in the
management of tasks, and emphasise Environmental Health and Safety responsibilities
and procedures in staff duties.
• Foster and maintain a high level of morale and strong team spirit within the Faculty
Administration Team members, provide appropriate workplace environment and
resources to enable staff to carry out their duties effectively, and cultivate a culture that
supports continuous improvement.
4. Collaboration and Communication
• Support good communications within the faculty including communicating faculty and
University priorities and activities.
• Consult with and advise the Dean and Faculty Management Board members where
appropriate, on issues affecting the staff members and students which arise within the
faculty and University.
• Provide and maintain an effective communication link within the faculty and between the
other Faculties, Departments, Home Schools, and other external stakeholders.
• Represent the Faculty in resolving issues by communicating, consulting, and negotiating
with various departments in the University about Faculty needs and requirements.
• Responsible for the overall management and maintenance of the infrastructure, physical
and IT needs of the faculty.
• Coordinate and work effectively with other Faculties and Departments to take forward a
range of University-wide and cross-faculty/department/campus initiatives and activities
5. Supporting ADC within the faculty to encourage open communication that provides honest and
multi-directional feedback, resulting in driven collaboration across the faculty.
6. To support any other duties that may be assigned based on the evolving needs of the faculty.
These additional assignments will be thoughtfully provided as opportunities to grow and expand
the skill set, taking on new challenges/projects that align with the expertise and contribute to the
overall success of UNM.
