About the Project
We are developing a retail operating system to help multi-store retailers understand what is driving store performance, capture structured frontline inputs, connect those inputs to KPIs, drive actions at store and management level, and over time build a learning loop across the network.
At a high level, the project flywheel has four stages:
1. KPI stage
2. Rnote stage
3. Action stage
4. Learning stage
The immediate focus is not building a perfect end-state platform. The immediate focus is to help shape, refine, and operationalize the product and workflow through real-world testing, iteration, and structured execution.
Role Purpose
We are looking for a highly practical, structured, and execution-oriented person to help move the project forward consistently on a weekly basis.
This is not a purely strategic role.
This is not a pure software product manager role.
This is not a passive coordinator role.
This role is for someone who can take a still-evolving product concept, help translate it into clear workflows, prototypes, requirements, experiments, and operating rhythms, and keep momentum going even when the founders are pulled into other responsibilities.
The goal of this role is to act as a continuity owner for the project during its early-stage development and validation phase.
Key Responsibilities
1) Product and Workflow Development
• Help translate the project concept into clear product logic, workflows, requirements, and priorities
• Structure and document the four-stage project flywheel in a way that can be tested and improved
• Turn messy real-world observations into usable product decisions
• Help simplify, sharpen, and improve the user flow and operating model
• Build and maintain a clear backlog of product questions, hypotheses, features, and validation priorities
2) Validation and Iteration
• Work closely with the founders to identify what needs to be tested next
• Run a weekly cadence of product iteration and validation
• Gather and synthesize feedback from real usage environments
• Help identify what is signal versus noise
• Recommend what should be improved, cut, delayed, or prioritized
3) Cross-Functional Execution
• Coordinate with design, development, operations, and other relevant contributors
• Work with external developers or agency partners where needed
• Ensure that agreed actions are followed through and not lost between discussions
• Keep the project moving forward with discipline and structure
4) Pilot and Field Readiness
• Help prepare the project for real-world pilot usage
• Translate retailer operating realities into product and process requirements
• Support light market research and pilot preparation in suitable markets
• Help define what successful early adoption and action-stage usage should look like
5) Documentation and Project Rhythm
• Keep product documentation, test learnings, workflows, meeting notes, and priorities organized
• Prepare concise weekly updates on progress, blockers, decisions, and next steps
• Ensure that the project does not stall when the founders are busy
What Success Looks Like in the First 3 Months
• Project development moves every week with clear momentum
• The current concept is translated into a cleaner and more structured product/workflow model
• The action-stage logic becomes more concrete and usable
• Product questions and assumptions are clearly documented and prioritized
• Feedback loops from real usage environments are captured and turned into decisions
• A clearer pilot-ready version of the project starts to emerge
• The project becomes less dependent on ad hoc founder availability

Ideal Candidate Profile
We are looking for someone who is strong in execution, comfortable with ambiguity, and able to bring order to an evolving product.
Strong fit if the candidate has:
• Experience in product management, product operations, venture building, business analysis, or program management
• Experience working in or around retail, store operations, frontline operations, multi-site businesses, or customer experience
• Strong ability to break down messy problems into structured actions
• Good commercial judgment
• Strong written and verbal English
• High ownership and follow-through
• Comfort working in an early-stage environment without heavy structure
Particularly valuable:
• Experience with B2B SaaS or workflow tools
• Experience with pilots, prototypes, or MVP development
• Experience working with founders
• Experience translating operational problems into product requirements
• Familiarity with spreadsheets, structured data, retail KPIs, and store operations
• Exposure to Malaysia retail or Southeast Asia retail landscape
