Job Description

About the Role:
Provide essential support to the accounting department and the Malaysia office, ensuring smooth financial and administrative operations. Handle daily accounting tasks, assist with month-end close, support vendor and procurement activities, and manage office administration and IT coordination.

Key Responsibilities:

Accounting & Finance Support

  • Perform accurate data entry, maintain ledgers, audit supporting documents, and manage both physical and digital filing.
  • Manage vendor activities including onboarding, contract handling, verification, and liaising between internal teams and suppliers.
  • Assist with bank and financial processes, including creating vendor templates, reconciling fixed assets, credit cards, payroll recharges, and OPEX invoices.
  • Prepare basic financial reports, journal entries, and compile local statutory records (e.g., entertainment and marketing expenses).
  • Support procurement processes such as invoice verification, batching of AP invoices, and general administrative tasks for accounting operations.
  • Ensure all financial transactions comply with company policies and deadlines.

Office & Administrative Support

  • Manage daily office operations, including phone, email, mail, appointments, files, and office supplies.
  • Support facilities management, including office leasing, equipment maintenance, and pantry stock.
  • Coordinate IT administration, including asset allocation confirmations and follow-ups with employees.

Job Requirements

  • At least Diploma holder in Accounting, Finance or higher
  • At least 2-3 years’ experience
  • Experience in accounting system (e.g. Oracle, Navision or NetSuite), Microsoft Excel & Word will be an added advantage
  • Ability to organise and prioritise work
  • Attention to detail and accuracy
  • Proficient in data entry skills
  • Excellent communication and interpersonal skills, including written communication (Mandarin speaking require as the role need to liaise with the China Entity)
  • Ability to work effectively in a team environment, as well as independently
  • Ability to work under pressure and meet closing deadlines
  • Team-oriented, flexible, proactive and positive working attitude
  • Able to start immediately or within short notice is preferred
