Job Description

The Administrative Executive (Renovation & Documentation) is responsible for managing administrative tasks related to office or property renovation projects. This includes handling renovation paperwork, coordinating with contractors, maintaining project documentation, and ensuring smooth administrative operations in support of renovation activities. 

1. Renovation Project Administration: 

• Assist in planning, coordinating, and monitoring renovation projects. 

• Prepare, organize, and maintain all renovation-related documents, permits, and approvals. 

• Coordinate with contractors, suppliers, and internal teams to ensure timely completion of renovation tasks. 

2. Documentation & Compliance: 

• Maintain records of renovation contracts, quotations, invoices, and approvals. 

• Ensure compliance with statutory requirements, safety regulations, and company policies. 

• Track progress reports, payments, and project milestones. 

3. Office Administration & Support: 

• Handle day-to-day administrative tasks, including filing, correspondence, and communication. 

• Support management with reports, presentations, and documentation for renovation projects. 

• Assist in scheduling site visits, inspections, and meetings with stakeholders. 

4. Financial & Procurement Support: 

• Assist in preparing budgets, cost estimates, and procurement requests for renovation projects. 

• Track expenses, process invoices, and liaise with the finance department for payments. 

5. Team Coordination: 

• Liaise between management, contractors, and internal departments to facilitate project workflow. 

• Ensure timely follow-up on pending approvals, documentation, and projectrelated tasks. 


Job Requirements

  • Diploma or Bachelor’s degree in Business Administration, Project Management, or related field preferred. 
  • Minimum 2–4 years of experience in office administration with exposure to renovation or project documentation. 
  • Familiarity with permits, contractor coordination, and project paperwork.
