Job Description

Job Responsibilities:

  • Organize and manage departmental affairs, including monthly sales meetings, preparing minutes of meetings, and cascading relevant information to team members.
  • Prepare weekly reports for debtors, stock inventory, and other related matters. Assist in preparing sales reports for Sales Review, Sales Budget, and other analyses as required.
  • Handle dept day-to-day administrative tasks, such as issuing Purchase Requisition, PI, Indent Order, Quotation & others. 
  • Assist the sales team in the daily operations e.g.: follow up with customers on collection, highlight inventory level & handle “to-do task/deadline” for the department.
  • Support the sales team in arranging business meetings, travel arrangements, and appointments with clients.
  • Maintain proper filing and documentation of sales records, agreements, and other confidential materials.
  • Actively participate in charitable activities (e.g., Yayasan projects) and other corporate social responsibility initiatives.
  • Provide general secretarial and administrative support to the COO and Head of Department as required.


Job Requirements

Requirements:

  • Minimum Diploma, Advanced/Higher/Graduate Diploma in Business Management, Marketing, or equivalent.
  • Proficient in SAP software and capable of preparing reports using Microsoft Excel, Word, and PowerPoint.
  • Minimum 2–3 years of relevant working experience in a sales coordination or secretarial role.
  • Good command of spoken and written English. Knowledge of the Chinese language will be an added advantage.
  • Strong attention to detail and good time management skills.
  • Strong organizational and multitasking skills with the ability to meet deadlines.
