Job Description
We’re seeking a structured, analytical, and proactive Retail Events & Planning Executive to strengthen HYGR’s retail activation and pop-up ecosystem.
You’ll be responsible for planning, analyzing, and optimizing retail events, pop-ups, and push-cart expansions (Malaysia & Singapore). This role complements our current retail partnerships lead, focusing on data-driven decision-making, budgeting, and seamless event execution.
Key Responsibilities
🧭 Event Planning & Strategy
- Develop a 3- to 6-month retail event and pop-up calendar covering Malaysia and Singapore.
- Conduct site research, negotiate rates, and analyze ROI of potential mall or retail activations.
- Prepare event proposals and presentation decks for mall management, brand collaborations, and internal approvals.
- Forecast manpower, inventory, and logistics needs in advance to prevent last-minute issues.
- Ensure all event plans align with marketing campaigns, new product launches, and seasonal promotions.
📊 Analysis & Reporting
- Track and analyze event KPIs (footfall, sales, sampling conversion, cost per lead, and GMV).
- Create post-event reports and insights for founders and marketing team.
- Compare performance across malls, regions, and event types to identify best-performing formats.
- Optimize booth placement, design, and product assortment based on data.
- Develop a database of mall contacts, vendors, rental rates, and previous ROI performance.
🛍️ Operational Coordination
- Work closely with marketing team and the operations team to ensure smooth execution.
- Support logistics planning: booth setup, manpower schedules, product displays, and signage approvals.
- Manage recruitment, training, and scheduling of part-time event crew.
- Conduct pre-event briefings and post-event debriefs to ensure learnings are captured.
- Liaise with vendors for booth setup, POS materials, and promotional collaterals.
🤝 Partnerships & Cross-Team Collaboration
- Work with marketing to align event visuals, social content, and influencer tie-ins.
- Collaborate with finance for event budgeting, payments, and cost tracking.
- Coordinate with performance marketing to drive footfall via paid ads or KOL appearances.
- Assist in expansion into Singapore, Overseas pop up: researching malls, pop-up opportunities, and event licensing requirements.
