Job Objective
We are seeking a highly organized, proactive, and dependable Executive Assistant to support the Managing Director. The ideal candidate will serve as a trusted strategic and administrative support partner, ensuring the Managing Director’s daily operations, priorities, and business activities run efficiently.
This role requires someone who is adaptable, resourceful, detail-oriented, and capable of handling multiple responsibilities in a dynamic startup environment where priorities can change rapidly.
Primary Roles and Responsibilities
1.Executive & Administrative Support
- Provide high-level executive and administrative support to the Managing Director.
- Manage calendars, appointments, meetings, travel arrangements, and business schedules.
- Coordinate and prioritize daily activities, ensuring timely follow-up on important matters.
- Prepare reports, presentations, business correspondence, and meeting materials.
- Handle confidential and sensitive information with discretion and professionalism.
2.Communication & Stakeholder Coordination
- Act as the primary liaison between the Managing Director and internal/external stakeholders.
- Manage emails, calls, and inquiries, ensuring prompt communication and follow-up.
- Coordinate meetings, business discussions, company events, and executive engagements.
- Prepare meeting agendas, take minutes, and track action items for completion.
- Maintain strong relationships with clients, partners, vendors, investors, and key stakeholders.
3.Operational & Business Support
- Support day-to-day business operations and strategic initiatives assigned by the Managing Director.
- Assist in project coordination, business planning, and execution of company initiatives.
- Conduct research, compile data, and prepare summaries or reports for decision-making purposes.
- Monitor deadlines, business priorities, and workflow progress across departments.
- Support cross-functional communication and coordination to improve operational efficiency.
4.Executive Office Management
- Maintain organized filing systems, records, and documentation.
- Assist in managing office administration and executive-related processes.
- Coordinate logistics for meetings, travel, events, and corporate activities.
- Support ad hoc tasks and special projects as required by the Managing Director.
