One month, you could be planning an overseas incentive trip. The next, you could be coordinating a corporate event, product launch, annual dinner or team experience.

We're looking for a MICE & Event Operations Executive who enjoys planning, coordinating, solving problems and most importantly — making things happen.

Job Responsibilities

MICE & Event Planning

  • Support the planning and execution of corporate events, incentive trips, meetings, conferences, annual dinners, product launches, team-building programmes and other MICE projects.
  • Understand project briefs, objectives, budgets, timelines and client requirements.
  • Research and recommend suitable venues, destinations, hotels, restaurants, activities, entertainment and experiences.
  • Develop creative programmes and event concepts together with the project team.
  • Prepare event programmes, itineraries, timelines, checklists and operational schedules.
  • Assist in developing proposals and presentation materials for pitches and client presentations.

Supplier Sourcing & Coordination

  • Source and coordinate with venues, hotels, DMCs, transport providers, caterers, AV companies, production houses, entertainers, decorators, printers, fabricators and other event suppliers.
  • Request and compare quotations, inclusions and supplier terms.
  • Negotiate rates and value-added services where appropriate.
  • Coordinate supplier requirements and ensure all parties understand the project timeline and deliverables.
  • Maintain and develop a reliable supplier database for both local and overseas projects.
  • Monitor deposits, confirmation deadlines, cancellation policies and other important supplier conditions.

Project & Event Operations

  • Coordinate confirmed projects from planning → preparation → execution → completion.
  • Prepare detailed project timelines, operational schedules and checklists.
  • Coordinate venue requirements, logistics, manpower, transportation, accommodation, meals and programme arrangements.
  • Coordinate event requirements such as stage, sound, lighting, LED screens, entertainment, branding, registration and guest experience where applicable.
  • Work closely with clients, suppliers and internal teams to ensure project requirements are properly communicated.
  • Track project progress and follow up on outstanding items before deadlines.
  • Assist with guest lists, rooming lists, seating plans, registration lists and other project documentation.
  • Conduct site inspections, venue visits and supplier meetings when required.
  • Ensure all arrangements are checked and reconfirmed before the project or event.

On-Site Execution

  • Support onsite setup, registration, guest movement and event operations.
  • Coordinate suppliers and ensure setup follows the approved programme and timeline.
  • Assist with rehearsals, technical checks and final preparations before guests arrive.
  • Monitor the event run sheet and ensure programme transitions happen smoothly.
  • Coordinate speakers, performers, VIPs, suppliers and other parties when assigned.
  • Handle last-minute changes and operational problems calmly and resourcefully.
  • Support overseas incentive groups as an Operations Coordinator or Tour Manager when required.
  • Ensure clients and participants receive professional service throughout the programme.

Project Closing

  • Coordinate dismantling, equipment returns and outstanding supplier matters after events.
  • Collect supplier invoices and supporting documents for project reconciliation.
  • Assist with final project costing and identify additional or unexpected expenses.
  • Participate in post-event/project reviews to identify what worked and what can be improved.
  • Maintain proper project files, supplier records and operational documentation.

Job Requirements

Job Requirements

  • Diploma or Degree in Event Management, Tourism, Hospitality, Business, Mass Communication or related fields is preferred.
  • Fresh graduates with strong potential are welcome to apply.
  • 1–2 years of experience in events, MICE, travel operations, hospitality or project coordination is an advantage.
  • Good written and spoken English.
  • Comfortable communicating and negotiating with local and overseas suppliers.
  • Good knowledge of Microsoft PowerPoint, Excel and Word.
  • Strong research, planning and coordination skills.
  • Good numerical ability and comfortable working with quotations and project costing.
  • Detail-oriented and able to manage multiple deadlines simultaneously.
  • Resourceful and able to think quickly when plans change.
  • Comfortable working in a fast-moving, project-based environment.
  • Willing to work outside normal office hours, weekends or public holidays when required for projects.
  • Willing to travel locally and internationally when assigned.
