Job Description

Office & Operations Supervisor for the Malaysia branch acting as the local day-to-day operations lead. Responsible for office administration, HR execution, petty cashier duties, employee daily management, external coordination (banks, regulators, vendors, company secretary) and liaison with Group HQ operations. Reports to the Group General Manager or designated HQ management.


Job Requirements

Key responsibilities:

  • Manage office facilities, leasing, vendors, procurement, property management, utilities, internet, insurance, office supplies and equipment.
  • Handle employee attendance, leave, onboarding/offboarding, employee records, benefits and basic employee relations; coordinate EPF, SOCSO, EIS administrative processes.
  • Implement HQ policies, workplace discipline, meeting arrangements, team activities and local administrative initiatives.
  • Perform cashier duties including petty cash management, initial expense claim review, payment documentation preparation, invoice/receipt filing and bank document organization.
  • Conduct monthly reconciliations with the Group Accountant.
  • Coordinate operational matters with company secretaries, banks, property managers, insurers, government/regulatory authorities, tax agents and auditors.
  • Prepare documentation and provide on-site coordination for company, tax, labour, fire-safety and other inspections; escalate major exceptions, compliance matters and employee issues promptly.

Qualifications & requirements:

  • Diploma or Bachelors degree in Administration, Human Resources, Business Administration or related field preferred.
  • 3-5 years office administration, operations or HR administration experience, with at least 2 years independently managing office operations.
  • Proficient written and spoken communication skills in English and Mandarin Chinese.
  • Familiarity with Malaysian employment administration and EPF / SOCSO / EIS procedures and common government/business communication channels.
  • Proficient in Microsoft Excel, Word and PowerPoint.
  • Strong sense of responsibility, confidentiality, judgment and execution; able to manage multiple priorities independently.
  • Preferred: experience in small MNCs, startups or regional offices; experience with company secretary, bank account opening, office setup/move, government inspection coordination; basic cashier, expense review, procurement or vendor management experience.
