Job Description

Primary Responsibilities

  1. Purchasing Documentation Support
  •  Assist in preparing Purchase Orders (PO), Quotations, and related documents 
  •  Ensure all purchasing documents are properly filed and updated in the system.

2. Supplier Coordination

  • Assist in preparing Purchase Orders (PO), Quotations and related documents
  • Help track and monitor supplier delivery status to ensure timely arrival.

3. Data Entry & System Updating

  • Update supplier information, pricing and product details in the system.
  • Maintain accurate purchasing records, logs and reports.

4. Inventory & Stock Monitoring

  • Support the team in monitoring stock levels for critical items.
  • Assist in preparing stock replenishment suggestions based on usage trends.

5. Quality & Compliance Support

  • Assist in checking delivered goods (quantity/quality) together with the warehouse team.
  • Report any discrepancy or defect found on delivered items.

6. Intenal Coordination

  • Work closely with Production, Warehouse and Accounts departments to clarify purchase needs, invoices and delivery issues.
  • Assist in preparing monthly purchasing summaries or cost reports.

7. Vendor Research

  • Research new suppliers, materials and compare pricing for cost-saving opportunities.
  • Prepare simple evaluation sheets for comparison.

8. General Administrative Tasks

  • Assists in ad-hoc purchasing tasks, clerical duties, and any special projects assigned by the Purchaser.

Job Requirements

 Academic Background

  • Currently pursuing a Diploma or Degree in Supply Chain Management, Business Administration, Logistics, Operations, or related fields.
     
  • Internship duration: Minimum 3–6 months (depending on company requirement).
     

Skills & Competencies

  • Basic understanding of purchasing, supply chain or inventory processes is an added advantage.
     
  • Good communication skills in English, Bahasa Malaysia; Mandarin is a plus (for dealing with certain suppliers).
     
  • Proficient in MS Office (Excel, Word).
     
  • Able to use email professionally and communicate with suppliers clearly.

  • Good time management and able to handle multiple tasks.
