Job Description

At Kopenhagen Coffee, we don’t just sell coffee. We partner with cafes and restaurants to bring great coffee experiences to their customers. Behind every bag of coffee we deliver is a team that keeps operations running smoothly.

We’re looking for a highly organized and detail-oriented Roastery Sales Coordinator to support our wholesale sales team. This role plays an important part in ensuring orders are processed accurately, deliveries are coordinated smoothly, and our cafe partners receive reliable support from our roastery.

While we use third-party couriers (e.g., Lalamove) for many deliveries, there are times when deliveries must be carried out directly by our team — especially for urgent orders, relationship-building visits, or when assisting with coffee dial-ins and client support. This role therefore requires someone who is comfortable being hands-on with deliveries when needed.

What You’ll Be Doing

Sales Order Coordination

  • Work closely with the roastery sales team to manage incoming orders from cafe and restaurant partners
  • Prepare Delivery Orders (DOs) and Invoices with high accuracy
  • Track and organize order records so the team stays aligned
  • Monitor inventory levels to ensure orders can be fulfilled smoothly

Logistics & Delivery Coordination

  • Coordinate delivery schedules to ensure coffee reaches our wholesale partners on time
  • Arrange logistics and dispatch for daily orders (including third-party couriers such as Lalamove)
  • Carry out deliveries personally when required, especially for urgent orders or key accounts
  • Must have own transportation and be willing to support deliveries independently when needed

Sales & Client Support

  • Prepare coffee samples, documents, and materials for sales meetings and coffee tastings
  • Assist the sales team in ensuring client requests and order updates are handled promptly
  • Manage roastery communication channels and respond to messages in a clear, warm, and professional manner

Roastery Operations Support

  • Support the roastery team with packaging and dispatch when needed
  • Maintain an organized and efficient workspace to keep operations running smoothly

Job Requirements

  • Strong organizational and time management skills with the ability to handle multiple tasks accurately.
  • Comfortable with administrative accuracy, specifically preparing Delivery Orders (DOs), invoices, and maintaining organized records.
  • Good written and verbal communication skills, especially when communicating with clients and internal teams.
  • Friendly, professional, and approachable in all communications, whether through messaging, email, or in-person at a cafe.
  • Proficient in basic office tools (Google Workspace, Microsoft Office, spreadsheets, etc.).
  • Able to work in a fast-paced environment while maintaining high attention to detail.
  • A "team-first" attitude: Willing to support logistics coordination, packaging, and personally carry out deliveries when needed to ensure our partners are well taken care of.
  • Willingness to learn the technical side: You will assist the sales team in building client relationships and supporting "coffee dial-ins" (ensuring the coffee tastes great at the cafe level).
  • Reliable personal transportation is a must for independent deliveries and site visits.
  • An interest in coffee or the specialty coffee industry is a plus!
