Role purpose

This is a builder role where you will develop and scale practical processes for installations and client handover. You will shape how projects move from order to live site, making installations predictable and clients confident in our work.

Job Requirements

Responsibilities

Project Coordination

• Create and maintain project schedules, track milestones, and update stakeholders on progress. Use simple trackers and shared tools to keep timelines visible.
• Coordinate procurement and materials deliveries with vendors to match installation dates. Verify quantities and quality before site arrival.
• Prepare project documentation including work orders, site drawings, and completion certificates. Keep records organised for handover and warranty claims.
• Monitor costs against basic project budgets and flag variances to the supervisor. Help keep projects on time and on budget.

Client Servicing & Communication

• Be the primary on-site point of contact during installations and handovers. Explain work clearly and manage client expectations.
• Schedule pre-installation calls and post-install follow ups to confirm satisfaction and capture feedback. Use notes to improve future visits.
• Resolve routine client queries and escalate technical issues promptly to internal teams. Keep clients informed until issues are closed.
• Prepare simple service reports and photos after each visit for the client and internal records.

Installation & Field Operations

• Lead or assist installation teams on site to ensure work meets our quality and safety standards. Perform basic testing and signoff procedures.
• Conduct pre-install site checks and risk assessments to ensure readiness. Report any site constraints early.
• Coordinate with third-party contractors for specialised tasks and manage handover sequencing. Confirm dependencies before mobilising teams.
• Ensure tools, parts, and documentation are ready for every job and maintain accurate inventory logs.

Requirements

Qualifications & Experience

• Diploma or degree in a relevant field such as landscap design, event management, Equivalent practical experience will be considered.
• About 2 years of experience in project coordination, client servicing, or installation roles. Experience with on-site field work is important.
• Valid driving licence and willingness to travel regularly to client sites across the region. Flexible hours when site visits require it.

Hard Skills & Knowledge

• Practical knowledge of installation workflows and basic testing procedures. Able to follow technical checklists and sign off work.
• Proficient with MS Office and Google Sheets, and comfortable using simple CRM or project trackers. Basic Excel skills for reporting are required.
• Familiarity with vendor coordination, purchase orders, and simple inventory checks. Ability to read basic technical drawings is an advantage.
• Awareness of health and safety practices for on-site work and the ability to perform risk assessments.

Soft Skills & Qualities

• Strong communication skills, with a clear and calm approach when speaking to clients and site teams. Good written follow up is essential.
• Organised and reliable, able to manage several small projects at the same time without losing detail. Time management matters.
• Problem solving mindset and practical decision making on site. Known for following through until tasks are complete.
• Team player attitude with respect for colleagues and external partners, and a positive approach to learning on the job.
