Job Description

1. Orientation & Onboarding Support

  • Assist in company and group orientation activities.
  • Support coordination of HR structure and function briefings (Recruitment, Training, Engagement, Administration).
  • Assist with intranet and HR shared drive introduction for new joiners.
  • Support office and IT setup coordination, including buddy assignment.
  • Assist in introducing HR policies, SOPs, and basic compliance requirements.
  • Support ESH (Environment, Safety & Health) briefing arrangements.
  • Gain exposure to recruitment trackers, training records, and engagement materials.

2. Recruitment Support

  • Assist in coordinating Manpower Requisition Forms (MRF) and Job Description (JD) updates with hiring managers.
  • Support job postings on platforms such as JobStreet, Hiredly, MyNEXT, and LinkedIn.
  • Assist with interview scheduling and coordination.
  • Help maintain and update the recruitment tracker.
  • Support CV screening basics under guidance.
  • Assist with onboarding preparation, including bank account letters and new hire announcements.
  • Support career fairs and recruitment drives.

3. Training & Development

  • Understand training policies and IMS documentation.
  • Support training attendance tracking and record management.
  • Assist in preparing training materials and documentation.
  • Organize training files on the shared drive.
  • Prepare training evaluation forms and compile results.
  • Assist with On-the-Job Training (OJT) documentation, including checklist updates and reminders.
  • Support updates to training content on the intranet.

4. Employee Engagement

  • Co-coordinate employee engagement activities (festive celebrations, wellness initiatives).
  • Assist in creating posters and basic internal communications with guidance.
  • Support event photography and attendance tracking.
  • Assist with vendor coordination and budget tracking.
  • Support large-scale events such as Annual Dinner, Chinese New Year Dinner, Christmas celebrations, and DEI initiatives.

5. HR Operations

  • Assist in checking Micare bills and Micare enrolments.
  • Support preparation of insurance enrolment for new employees and verification of insurance invoices.
  • Assist in preparing Confirmation Assessment Forms.
  • Support preparation of new staff announcements and HR email drafts.

6. Special Projects

  • Support the HR team in curating and documenting a Structured Internship Program.

7. Rewards & Recognition

  • Assist in revising the Malaysia Employee Handbook, including updated policies and procedures.
  • Support the review of Malaysia medical insurance schemes and coordination of meetings with insurance brokers.
  • Assist in compiling employee benefits and entitlements across countries.
  • Participate in benefits harmonization and upgrade initiatives for regional operations.

Job Requirements

  • Currently pursuing a Diploma or Bachelor’s degree in Human Resource Management, Business Administration, Psychology, Management, or a related field.
  • Basic understanding or interest in Human Resources functions (Recruitment, Training, Employee Engagement, HR Operations).
  • Familiarity with Microsoft Office (Word, Excel, PowerPoint).
  • Exposure to HR systems, intranet, or shared drives is an added advantage.
  • Basic knowledge of documentation, filing, and data tracking.
  • Good written and verbal communication skills.
  • Comfortable interacting with employees and stakeholders across different departments.
  • Able to draft basic emails, announcements, and simple communications with guidance.
  • Detail-oriented with good organizational and time management skills.
  • Ability to handle confidential information with professionalism.
  • Willingness to learn and follow HR policies, SOPs, and compliance requirements.
  • Proactive, responsible, and eager to learn.
  • Able to work independently with guidance and collaboratively in a team.
  • Positive attitude and willingness to support multiple HR activities.
  • Able to commit to the internship duration as required.
  • Willing to support events, career fairs, and engagement activities, including occasional after-hours support when needed.
  • Interest in developing a career in Human Resources will be an added advantage.
