Job Description

The IT Intern will support the digitalization and improvement of procurement processes by working closely with the Procurement and cross-functional teams. Key responsibilities include:

Procurement Process Review

• Review and understand existing Procurement Policies and Procedures.
• Assist in documenting current workflows and identifying process gaps.

Process Mapping & Requirements Gathering

• Support process mapping of procurement activities.
• Gather business and system requirements from stakeholders to support process improvements.

Automation & System Enhancement

• Assist in developing a simple automated tracking number system (auto-numbering).
• Support the implementation of PR/RO form numbering controls.

Forms Digitalization

• Digitize frequently used procurement forms into fillable PDFs or online forms.
• Convert commonly used procurement forms (e.g. QCF) into SharePoint-based forms.

Approval Workflow & E-Signature

• Assist in implementing approval workflows and electronic signature (e-signature) solutions for procurement documents.

System Tools Exposure

• Gain hands-on exposure to the organization’s procurement system (Precorro).
• Provide support in system usage, documentation, and basic troubleshooting where applicable.

Collaboration & Communication

• Work cross-functionally with Procurement, Finance, and IT teams.
• Develop teamwork and communication skills through stakeholder engagement and project collaboration.

Job Requirements

 Education

• Currently pursuing or recently completed a Diploma or Bachelor’s degree in Information Technology, Computer Science, Information Systems, or a related field.

Technical Skills

• Basic understanding of IT systems, databases, or business applications.
• Familiarity with Microsoft tools (Excel, Word, PowerPoint).
• Exposure to SharePoint, Microsoft Forms, Power Automate, or similar workflow tools is an advantage.
• Basic knowledge of PDF form creation, digitization, or document management systems is a plus.
• Understanding of system workflows or process automation concepts is preferred.

Analytical & Documentation Skills

• Ability to understand and document business processes.
• Comfortable with process mapping, requirements gathering, and basic documentation.

Communication & Teamwork

• Good communication skills (written and verbal).
• Ability to work cross-functionally with non-technical users.
• Willingness to learn and contribute in a team environment.
