Role purpose

As an Event Assistant you will help build repeatable, well-run events from concept to pack-down. You will own practical on-ground tasks, improve setup flows, and help scale activations so our brand is consistent and memorable.

  • Develop practical event skills by managing multiple small to mid-sized activations and learning end-to-end operations. This builds a strong foundation for event management roles.

Job Requirements

Responsibilities

Event Coordination

  • Support event setup and pack-down, ensuring displays, stock, and promotional materials are ready on time. Keep a checklist and log issues for quick fixes.
  • Assist on-site with crowd flow, product demos, and simple POS tasks to keep sales moving. Communicate updates to the store or event lead.
  • Manage event timetables and run sheets for small activations. Confirm timing with vendors and staff the day before each event.
  • Prepare post-event notes that record attendance, sales pointers, and supply needs for the next activation.

Operations & Logistics

  • Coordinate deliveries and returns of event equipment and stock with warehouse or suppliers. Track items to avoid losses and delays.
  • Handle vendor bookings and basic contracts, including confirming rates, arrival times, and scope of work. Keep purchase and expense records tidy.
  • Maintain event inventory lists and ensure promotional items are restocked. Flag low stock to the buying or store team ahead of events.
  • Support simple budget tracking by recording expenses and receipts for each activation.

Marketing & Stakeholder Engagement

  • Help activate on-site promotions and brand experiences, following brand guidelines. Collect basic feedback from visitors and staff.
  • Coordinate with internal teams such as sales, retail, and social media to ensure event coverage and follow-up. Share event highlights and photos promptly.
  • Manage relationships with venue contacts and community partners to secure slots and smooth operations.
  • Assist with basic event promotion tasks like distributing flyers, updating event calendars, and supporting digital posts.

Requirements

Qualifications & Experience

  • Minimum 2 years of experience in events, retail activations, or marketing support roles, preferably within trading or retail sectors.
  • Diploma or degree in Marketing, Communications, Hospitality, or related field is preferred but not mandatory.
  • Flexible availability to work weekends and evenings as events require.
  • Able to travel locally for events and lift moderate loads during setup and pack-down.

Hard Skills & Knowledge

  • Event Planning, Event Management, Event Marketing, and Event Operations knowledge with practical application in on-ground activations.
  • Vendor management and basic contract handling, plus simple budget tracking and expense reconciliation.
  • Comfortable using spreadsheets for checklists and reports, and basic photo capture for event records.
  • Familiarity with point of sale basics, stock handling, and simple merchandising during activations.

Soft Skills & Qualities

  • Strong communication and teamwork, with a positive on-site attitude and calm problem solving under time pressure.
  • Organised and detail oriented, able to manage multiple tasks and follow checklists reliably.
  • Customer focused and friendly when engaging visitors, and able to gather useful on-site feedback.
  • Proactive and coachable, eager to learn event best practices and take on more responsibility over time.
