Job Summary: 

We are seeking a proactive and detail-oriented Human Resources Executive to support the day-to-day operations of the HR function. This role will be responsible for coordinating recruitment activities, managing employee lifecycle processes, maintaining HR records, and supporting payroll and HR administrative operations.

The ideal candidate is organized, resourceful, and able to manage multiple tasks while ensuring accuracy, confidentiality, and compliance with company policies.

Job Responsibilities:

Recruitment & Talent Coordination

  • Coordinate recruitment activities including job postings, candidate sourcing, resume screening, and interview scheduling with hiring managers.
  • Maintain candidate records and assist in ensuring a smooth recruitment process from application to onboarding.

Onboarding & Offboarding

  • Manage employee onboarding processes including preparing employment documentation, coordinating orientation sessions, and ensuring a positive onboarding experience for new hires.
  • Coordinate offboarding activities including exit interviews, documentation processing, and ensuring the return of company assets.

HR Administration & Employee Records

  • Maintain and update employee records, HR databases, and documentation to ensure accuracy and compliance.
  • Update the company’s Google Calendar with employee-related events, milestones, and company activities.
  • Ensure proper filing and documentation of HR records in accordance with company policies and internal procedures.

Payroll & HR Operations Support

  • Support payroll preparation by maintaining accurate employee records and assisting with payroll-related data, including statutory contributions such as EPF, SOCSO, and EIS, in coordination with the Finance team.
  • Maintain and update employee leave and attendance records in the HRMS system, monitor irregularities, and escalate discrepancies when necessary.

Employee Engagement & HR Initiatives

  • Coordinate internal HR initiatives such as monthly birthday celebrations and employee engagement activities, including event planning, logistics coordination, and employee communication. 

Learning & Development Support

  • Support the coordination and development of employee training and learning initiatives.
  • Assist in organizing internal knowledge-sharing sessions, workshops, or training programs when required.
  • Maintain records of employee training and track participation.
  • Work with HR to identify training needs and support the implementation of learning initiatives to enhance employee development.

General HR Support

  • Provide first-level support for employee inquiries related to HR policies, leave matters, and general HR processes.
  • Assist with HR projects, audits, and other administrative tasks as assigned.


Job Requirements

  • Diploma or Bachelor’s Degree in Human Resource Management, Business Administration, or related field.
     
  • Minimum 1 - 2 years of relevant experience in Human Resources or HR Administration.
     
  • Fluent in written and spoken English and Bahasa Malaysia. Proficiency in Mandarin will be an added advantage.
     
  • Basic knowledge of payroll processes and statutory contributions (EPF, SOCSO, EIS, etc.).
     
  • Proficient in Microsoft Office, Slack, and Google Workspace.
     
  • Experience using HRMS systems (e.g., Infotech HRMS) will be an added advantage.
     
  • Strong organizational and time management skills with high attention to detail.
     
  • Able to work independently while managing multiple tasks in a fast-paced environment.
     
  • Responsible, proactive, and able to maintain confidentiality when handling sensitive employee information.
