Location: Kuala Lumpur (Required to travel for events)

About the Role:

As a Senior Event Executive, you will work closely with our Events team to host engaging events that will play a huge part in the success of our client’s campaigns, their brand identity and visibility. The noteworthy Senior Event Executive will effectively deliver event objectives and manage the whole event process from start to finish.

Responsibilities:

• Assist in the end-to-end planning, coordination, production, execution, and management of events and event-related projects.
• Support all aspects of event operations, including logistics, registration systems, exhibitor coordination, vendor liaison, floor management, manpower coordination, and on-ground execution.
• Act as a key liaison between internal teams, clients, vendors, venues, suppliers, government bodies, non-government bodies, and other stakeholders involved in the event production process.
• Coordinate and liaise with event vendors, including sourcing, negotiating quotations, confirming agreements, and ensuring timely delivery of required services.
• Assist in obtaining relevant government and non-government event permits, approvals, and supporting documents when required.
• Prepare event-related documents such as event proceedings, briefing notes, duty lists, production schedules, collaterals, reports, and other required materials.
• Monitor and update event progress to ensure smooth project delivery and client satisfaction.
• Report event status, updates, and key matters to the management team.
• Assist with onsite event management during rehearsals, setup, event day, and teardown to ensure smooth event proceedings.
• Proactively resolve and troubleshoot any issues that arise before, during, or after the event.
• Prepare income and expenditure reports, post-event reports, survey forms, and other applicable reports relating to each event.
• Propose, brainstorm, and implement ideas to improve event services, workflow, execution quality, and overall client experience.
• Ensure each event is executed professionally, smoothly, and in line with the agreed requirements.
• Support any ad-hoc event-related tasks assigned, including but not limited to event QR/registration platforms, booth or exhibitor arrangements, floor management, vendor coordination, and operational troubleshooting.
• Work on other agency projects when required.

Job Requirements

• Candidates must possess at least Diploma/Advanced/Higher/Graduate Diploma, Bachelor’s Degree/Post Graduate Diploma/Professional Degree in a related field.
• At least 3–5 years of experience in handling virtual or physical events.
• Experience in project management with a track record of successful events.
• Problem-solving skills and an out-of-the-box mindset.
• Meticulous attention to detail.
• Excellent communication skills in English and Bahasa Malaysia (Chinese is an added advantage).
• Able to multi-task, work independently, and perform under pressure with minimum supervision.
• Must be able to drive a car as the main means of transport.
