Job Description

Purpose of the role

To support the Office of the Secretary in daily coordination, scheduling, and follow-up of tasks. This role helps ensure meetings, decisions, and communications run smoothly.

 

Responsibilities of the role

Responsible for day-to-day coordination and administrative support, including managing schedules, organising meetings, and ensuring timely follow-up on tasks. Supports communication and handles confidential information with care.

Duties for the role

  • Schedule and organise meetings, including sending invitations and confirmations.
  • Prepare agendas, take notes, and track action items from meetings.
  • Prepare meeting notes and minutes.
  • Monitor deadlines and follow up on pending tasks or decisions.
  • Assist in drafting basic correspondence and documentation.
  • Maintain organised records and filing systems.
  • Provide administrative support as required by the Office of the Secretary.

Job Requirements

 Professional / Tertiary Qualifications 

  • Minimum of 3 to 6 months of internship period.
  • Currently pursuing a Diploma or Bachelor’s Degree in Business Administration, Management, Human Resources, Finance, Communications, or a related discipline.
  • Strong analytical, problem solving and time management skills.
  • No prior working experience required and exposure in administrative, coordination, or office support roles is an advantage.
  • Experience in handling scheduling, documentation, or stakeholder coordination is preferred but not mandatory.
  • Familiarity with basic office tools (e.g. Microsoft Office, Google Workspace) is a plus 1.
  • Demonstrate good communication skills and possess the ability to converse well with others.
