Job Description

We are looking for a highly detail-oriented and creative Accounts & Proposal Executive to support our events team. This role is ideal for someone who is extremely meticulous with numbers, enjoys producing top-quality proposals, and communicates confidently with clients.

Key Responsibilities

  • Prepare high-quality proposals that are clear, attractive, and geared for strong client conversion.
     
  • Create accurate quotations with zero errors in costing, item descriptions, timelines, and requirements.
     
  • Gather information from clients through calls, emails, or meetings to ensure proposals are complete and correct.
     
  • Work closely with the sales/events team to ensure proposals meet clients’ needs and company standards.
     
  • Maintain and update costing sheets, price lists, and internal documentation.
     
  • Handle basic accounts support — invoicing, payment follow-up, recording expenses, and updating financial documents.
     
  • Assist with office administration tasks when needed (filing, document preparation, data entry).
     
  • Ensure all proposal and quotation documents follow company branding and quality standards.
     
  • Track proposal status and follow up with clients professionally.

Must-Have

  • Strong attention to detail — obsessive with accuracy and numbers.
     
  • Able to produce professional and creative proposals (PowerPoint/Canva/Google Slides).
     
  • Good command of English & Bahasa Malaysia (writing + speaking).
     
  • Confident in speaking with clients to clarify requirements.
     
  • Strong numerical skills — able to calculate costing accurately without mistakes.
     
  • Experience in preparing quotations, invoices, or basic accounts tasks.
     
  • Proficient in MS Office / Google Workspace.
     
  • Strong time management and able to meet deadlines.
     
  • Independent, organised, and able to work with minimal supervision.
     

Good to Have (Bonus)

  • Experience in events, advertising, interior, media, or creative industries.
     
  • Experience in client servicing or sales support.
     
  • Familiarity with Canva, PowerPoint animations, or simple layout design.
     
  • Ability to analyse client needs and recommend suitable event concepts.
