Purpose:
To lead the creation of high-quality, persuasive proposals that win clients, convert leads into sales, and clearly translate client needs into compelling event solutions. This role focuses on proposal excellence, information accuracy, and commercial clarity — more than event operations.

Job Description

  1. Proposal Development (Main Focus)
  • Lead end-to-end proposal creation: concept development, storyline, design direction, costing structure, and final formatting.
     
  • Transform client requirements into clear, attractive, and convincing proposals that stand out from competitors.
     
  • Ensure every proposal is accurate, detailed, well-structured, and aligned with the client’s objectives.
     
  • Write compelling copy that explains event ideas, benefits, and value in a professional and persuasive manner.
     
  • Work with designers and event teams to ensure visuals, mood boards, and layouts meet proposal standards.
     
  1. Client Understanding & Information Gathering
  • Attend client meetings (online or physical) to gather correct and complete information before proposal development.
     
  • Ask smart, probing questions to understand client goals, budget range, expectations, and pain points.
     
  • Interpret unclear client briefs and turn them into clarity for the internal team.
     
  1. Costing & Quotation Accuracy
  • Prepare detailed project quotations with 100% accuracy, ensuring no missing items, duplicated items, or wrong costing.
     
  • Challenge costing assumptions, compare vendor pricing, and ensure competitive yet profitable quotations.
     
  • Track version control for multiple revisions.
     
  1. Proposal Quality Control
  • Establish proposal standards, formats, templates, and guidelines for the team.
     
  • Review and proofread all content before sending to clients — grammar, factual accuracy, numbers, formatting.
     
  • Ensure each proposal is polished, professional, and error-free.
     
  1. Collaboration & Leadership
  • Coordinate with creative, production, and project teams to gather required inputs and align proposal promises with what is deliverable.
     
  • Mentor junior staff on proposal-writing techniques and information accuracy.
     
  • Support sales activities with presentation materials and pitch decks.

Job Requirements

  1. Skills & Experience
  • Strong experience in proposal writing, copywriting, business proposals, sales proposals, tenders, or bid management.
     
  • Excellent English writing skills — clear, structured, persuasive.
     
  • Strong analytical skills to interpret client needs and create commercially sound quotations.
     
  • Highly detail-oriented and meticulous — zero tolerance for errors.
     
  • Strong understanding of business logic, costing, margins, and budgeting.
     
  • Able to think creatively to propose event concepts (prior event experience not mandatory, but creative thinking is).
     
  • Proficiency in PowerPoint, Google Slides, Canva, or similar presentation tools.
     
  1. Personal Traits
  • Extremely organised, structured thinker (“OCD level” attention to detail).
     
  • Strong sense of responsibility and ownership over proposal accuracy.
     
  • Confident communicator when engaging with clients.
     
  • Able to work independently without constant supervision.
     
  • Calm, professional, and able to manage multiple deadlines.
     
  1. Education (Flexible)
  • Business Administration, Marketing, Communications, Mass Comm, English, Commerce, PR, or similar fields.
     
  • Background in proposal writing, corporate communications, tender management, or sales support is a strong advantage.
